Job Summary
The purpose of this position is to provide executive level support to the Chief Culture Officer.
The role will provide support across business operations, administrative and general support duties. The Culture Office supports Ethics & Compliance, Diversity, Equity & Inclusion, Senior Leadership Talent and Succession planning and Philanthropy which are confidential in nature.
What You'll Do:
Ensure Chief Culture Officer has all board materials and pre-reading.
Draft correspondence, edit documents, take and transcribe minutes of meetings, and perform administrative and secretarial duties.
Create, maintain, and/or update various databases. Extrapolates, analyzes, and presents data for Chief Culture Officer information reporting purposes.
Serve as a liaison between executives, internal management, employees, clients, and visitors as required.
Complex diary management; planning meetings and conferences by arranging domestic and international travel.
Review incoming correspondence via paper or email, lead initiative to determine appropriate action required. Lead and supervise issues for appropriate follow up.
Take action on handling requests; determine the appropriate course of action, intervene where needed, and acts as a liaison between departments.
Coordinate data from a variety of sources for inclusion in technical reports and presentations; perform independent research and prepare information for projects as assigned.
Assist with processing department financial data as it relates to budgets, accounts payable, and generating various financial queries and reports.
Administer the department/business unit record keeping system; update various records and publications and ensure that files are maintained in accordance with company policies and procedures; review requests for information and determine the appropriateness of release.
Other duties may be assigned.

High school diploma or (GED) required. Associate degree (AA) or equivalent from two-year college or technical school preferred. Confirmed experience and/or training.
Minimum of 2 years supporting an executive level.
Excellent written and verbal communication skills.
Exceptional organisational skills with consistent attention to detail.
A problem-solving mindset, proactive thinking, adaptability and expeditious response particularly while working under pressure.
Ability to provide efficient, timely and courteous service to internal and external stakeholders.
Ability to effectively present information.
Requires knowledge of financial terms and principles. Ability to understand and manage department budgets. Conducts basic financial analysis.
Advanced skills with Microsoft Office Suite required.
Requires in-depth knowledge of company operations, policies, and procedures.
Must have a strong command of the English language and excel in the areas of spelling, grammar, and punctuation with strong attention to detail.
Decisions made with thorough knowledge of procedures and company policies to achieve set results and deadlines.
