Expiration Date of Job Posting: Continuous Position Summary: Internally, this position is titled Business Administrative Specialist. The Specialist is responsible for supporting leadership while maintaining the highest level of confidentiality, accuracy, honesty, trustworthiness, and demonstrating sound work ethics. The Business Administrative Specialist coordinates events, meetings, travel and provides calendar support. Must have the ability to independently interpret policies to solve issues that arise.
Job Qualifications:
High School Diploma/GED or Associates Degree required with 6–8 years of relevant work experience; or Bachelor’s Degree with 3–5 years of relevant work experience.
Certified Notary or willing to get certification.
Intermediate to advanced knowledge of Microsoft Office Suite (i.e. PowerPoint, Word, Excel, and shared collaborative tools such as SharePoint and/or OneDrive for Office 365) or equivalent platform (Google Suite / Mac OS etc.)
Comfortable learning new technologies as to become proficient in desktop systems and internal software necessary to successfully perform assigned tasks. May be asked to become departmental “expert” and/or “trainer” in specified software platforms.
Clarified and confident ethical standards that guide decision making in ambiguous circumstances.
Comfortable functioning in a role that requires a high degree of flexibility with the ability to independently interpret policies and solve non-routine, complex issues under minimal supervision (balanced with willingness to request clarification/assistance when difficulties arise.).
Flexibility to take on a wide range of responsibilities to support assigned management/department with ability to establish workflow priority based on assessment of tasks and consideration of interdepartmental needs.
Aptitude for working in collaborative team environments with a focus on maturity, proactive communication, relationship building skills and resiliency.
Curiosity and proactive learning mindset to support continuous growth both personally and for the business.
A “Self-starter” mindset that takes initiative to continuously improve processes for ongoing effectiveness of the department and company as a whole.
Provide support to the team with various projects which will require the ability to manage multiple, concurrent tasks with the highest levels of professionalism, confidentiality, timely turn-around and client service.
Willingness and ability to guide/mentor junior administrative staff.
Strong communication skills, verbal and written.
Possess a valid driver’s license and a safe driving record; able and willing to run errands as needed.
Essential Job Duties and Responsibilities:
Provides both routine and non-routine administrative support to management, work team and/or department, handling high volume of competing administrative task requests (via multiple clients) that require professional discernment on appropriate urgency/prioritization to complete.
Provide extensive calendar support requiring prioritization of multiple calendars with effective communication across various stakeholders (especially Administrative colleagues) throughout the company.
Coordinates, schedules, and manages travel, meetings, seminars series, speaking engagements and conferences for senior members of department.
Initiates and continuously improves administrative procedures for department.
Prepares and processes departmental paperwork, including non-routine correspondence, complex presentations, contracts, and detailed reports.
Reviews and edits departmental documents for grammar, style and formatting.
Ensures the accurate filing and tracking of all departmental documentation, including memos, correspondence, presentations, and reports.
Prepares reports and statistics based on information compiled from various sources on a regular basis.
Represents head of department and department staff to internal and external clients regularly interacting to coordinate departmental/manager business needs.
Assist in the management of the budgeting and contracting processes.
Document and maintain group processes, procedures and programs relating to contracts and employee onboarding.
Coordination of other departmental projects as assigned.

Work Conditions:
Able to sit and work at computer keyboard for extended period.
Able to perform general office administrative activities of copying, filing, faxing, and using the telephone.
Able to lift and move up to 25 pounds on occasion.
