In this role, you’re expected to:
The Executive Assistant provides support to the Head of Communications in Hong Kong and the Hong Kong Communications team.
Responsibilities
Directly supports a C16 Managing Director (Head of Communications) and generally supports the Hong Kong Communications team
Administrative duties:
Manage day to day calendar of the Head, coordinating executive level manager appointments, meetings and conference calls
Assist with creation/modification of presentations, spreadsheets, and other various documents
Provide support for sending of internal memos via Citi’s Email Distribution Tool
Collate media coverage reports
Provide support at franchise level events managed by the HK Communications team
Coordinate travel arrangements; prepare and distribute schedules/agendas for travel for the Head
Prepare, reconcile, and track expense reports through Travel and Entertainment Expense system
Order supplies and process invoices through Procure-to-Pay system
Support onboarding/offboarding with technology and real estate needs
Assist in ad-hoc reports and special projects
Business Control and Governance duties:
Coordinate and prepare quarterly MCA reporting and ensure appropriate level of controls and tracking by the team
Coordinate department’s Record Management
Be the department’s COB Coordinator
Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.
As a successful candidate, you’d ideally have the following skills and exposure:
Diploma or its equivalent
Previous office administration experience preferably within a large and complex financial services or similar organization
Highly proficient in Microsoft Office, with advanced understanding of Outlook, Word, Excel and PowerPoint
Consistently demonstrates clear and concise written and verbal communication skills
Demonstrated ability to quickly gain command of new systems
Self-motivated and detail oriented
