Join Takeda as an Executive Administrative Assistant where you will provide executive-level administrative support to the Head of Global Evidence and Outcomes (GEO) and members of the team. You will also anticipate and resolve administrative needs including last minute meeting requests, unforeseen calendar changes and international travel reservations, all taken care of with ease, autonomy, and proper follow through with stakeholders. As part of the Global Evidence and Outcomes team, you will report to the Head of the organization and work with the members of the team, looking for ways to improve current processes, and to produce high-quality results, balancing the workload by prioritizing tasks and requests according to executive goals and deadlines.
Key responsibilities include:
Travel arrangements
Expense reports
Calendar management,
Event scheduling and planning
Arranging management meetings with participants in different geographies
Managing office needs
Arranging critical internal and external events
How you will contribute:
Perform complex administrative duties, involving contact with and exposure to highly confidential materials and information.
Utilize professional phone etiquette, accurate and detailed message taking techniques, timely routing of all messages.
Ensure that all appointments are timely and accurately scheduled, maintain Outlook calendars accurately, manage decision-making on scheduling of appointments, manage and coordinate meetings utilizing meeting planning skills (including confirming attendees in advance.).
Respond to requests for information from internal employees and external vendors in a timely manner.
Coordinate travel accommodations (both domestic and international).
Able to draft basic correspondence and documents and proofs ascertain communication is clear in tone and error free.
Ensure that the department is orderly, office supplies are stocked.
Manage training assignments and works with team to ensure that GEO completes training in a timely manner.
Minimum Requirements/Qualifications:
A minimum of 12 years of office administration experience with prior experience supporting executives required; Previous experience working in high-level executive function.
A high school degree, or equivalent, is required.
The ability to maintain confidentiality and discretion is required.
Maintain and work with highly sensitive and confidential information.
Convey a sense of urgency and drives issues to closure; persist despite obstacles and opposition.
Will interact and communicate with visitors, vendors and individuals at all levels.
Demonstrate respect for people and relate to people in an open, professional, and encouraging manner.
Handle multiple competing tasks and demands.
Use professional judgment when dealing and dispersing confidential information.
Identify and effectively communicate obstacles and propose solutions.
Use influence skills effectively to partner with others.
Work independently, takes initiative and complete tasks to deadlines.
Excellent planning and organizational skills are required.
Provide quality information and objective perspectives during meetings and maintain accurate records of discussion points.

This position is currently classified as "hybrid" in accordance with Takeda's Hybrid and Remote Work policy.
Base Salary Range: $54,600.00 to $78,00.00, based on candidate professional experience level. Employees may also be eligible for Short-term and Long-Term Incentive benefits as well. Employees are eligible to participate in Medical, Dental, Vision, Life Insurance, 401(k), Charitable Contribution Match, Holidays, Personal Days & Vacation, Tuition Reimbursement Program and Paid Volunteer Time Off. The final salary offered for this position may take into account a number of factors including, but not limited to, location, skills, education, and experience.
