Job Description Summary
This position provides administrative support to three Surgery Executives: the Vice President of Strategic Development and Innovation; the Vice President of Finance; and the Vice President/General Manager Surgical Solutions Platform and their respective teams. Responsibilities include coordinating of various administrative tasks, meeting preparation, travel coordination, and drafting reports and presentations. The Administrative Assistant must be able to handle multiple projects simultaneously, exercise good judgement, and maintain strict confidentially.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Organize and maintain calendars, including scheduling meetings and domestic and international travel arrangements.Coordinate, draft, and/or support preparation of presentations and other critical materials, including weekly and monthly reports to management and periodic Town Halls.Track and help drive completion of key deliverables and follow up on outstanding items. Provide background information and supporting documents in preparation for scheduled meetings.Prepare and reconcile expense reports.Participate in various team meetings, including assisting, scheduling, and preparing meeting minutes when applicable.Coordinate meetings both within and outside of BD, including disseminating conference call information, booking conference rooms, arranging catering needs, updating security list, etc.Provide administrative support as required for other senior managers, as well as assist with various platform projects and internal and external audits.Manage the procurement of services, office supplies and departmental needs including processing purchase orders and invoices, assisting with supplier set up and reports as needed.The Executive administrative assistant will be expected to work with and support other administrative assistant staff in Surgery, and when necessary, help to support additional special projects as neededResponsible for managing shared team calendars and internal event planning as necessary, including, but not limited to off-site meetings and workshops.Other administrative tasks and/or projects as assigned.
QUALIFICATIONS
Associates degree required; Bachelor's degree preferred.A minimum of 2 years' experience as an Executive Administrative Assistant in a fast-paced environment required, preferably a regulated industry.A keen attention to detail with the ability to prioritize workload and manage tasks independently.Forward-looking thinker, who actively seeks opportunities and proposes solutions.Self-starter who drives tasks to completion on time.Ability to exercise good judgement in keeping team members adequately informed.Excellent oral and written communication skills, with the ability to interact and communicate effectively with individuals at all levels of the organization.Thorough knowledge of technology, particularly Microsoft Office programs (PowerPoint, Word, Excel, Outlook, Teams, SharePoint) and travel and expense management programs.
