The Department of Justice, Office of Attorney General Liz Murrill, is seeking applications for anExecutive Administrative Assistant-Paralegal. Salary offered will be commensurate with the qualifications and experience of the candidate selected.

MINIMUM QUALIFICATIONS:
One year of experience in which paralegal or legal secretarial work was a major duty;
Completion of a paralegal-related curriculum at a University and/or certified paralegal training program, business school or technical institute;
Must possess a valid driver's license;
Must have access to a motor vehicle to travel statewide.
PREFERRED QUALIFICATIONS:
One or more years of experience in the federal court system;
A baccalaureate degree;
Proficient with computer software, specifically Microsoft Office programs, as well as Westlaw for legal research;
Knowledge of the regulatory process under the Federal Administrative Procedure (APA).

The duties of the incumbent of this position shall perform, but not limited to the following:
Paralegal
Prepare and maintain appointments for meetings; schedules depositions, public appearances and/or conference calls; and sets up calendar appointments for assigned attorneys;
Draft, format, edit, proof read, and finalize different types of legal documents such as pleadings, briefs, correspondence, emails, and legal memoranda. In rare occasions, composes legal documents based on legal opinions utilizing proper citation format for legal writing;
Track AMICUS briefs in a spreadsheet or other applicable tracking software program, schedules related meetings, and ensures that deadlines are met by the Solicitor General and other assigned attorneys;
Monitor assigned attorney’s email, schedules, court attendances, and other commitments;
Conduct legal research within time constraints, and reports appropriately the results;
Apply legal analysis to specific client facts and to court opinions and present legal analysis in a clear, concise, and logical format through writing issue statements, case briefs, motions, pleadings, other legal correspondence, office memoranda and court briefs;
Conduct document review; such as, reports of investigations, medical charts, or other documentation containing relevant information and synopsizes it;
Track cases via Westlaw and PACER or other departmental software utilized;
Organize and maintains case file folders and assist in preparation of the file for trial;
Prepare and issue subpoenas, prepares hearing documents; assists with drafting responses to discovery; Assists with enrolling attorneys in the courts of jurisdiction and filing documents and motions.
Executive Administrative Assistant
Ensure the efficient operation of the office by assisting as assigned with accounting and billing procedures, hiring, scheduling, and management of non-attorney personnel, information storage and retrieval systems;
Provide highly skilled keyboarding support in the transcribing and recording of information;
Perform administrative duties such as maintains files, makes copies, orders office supplies, prepares purchase requisitions, maintains key control and parking cards for the office, answers phones, assists walk-in customers and performs receptionist duties when needed;
Process and makes travel arrangements for assigned attorneys including but not limited to scheduling flights, hotels, car rentals, travel authorizations, and reimbursement requests;
Maintain administrative records as are necessary to account for time, travel, and related expenses;
Assist with new hire in-processing and orientation during their first week of employment;
Assist with notifying Human Resources when an existing employee is separating so that they may schedule their out-processing appointment;
Accept responsibilities of other duties as assigned by the SG or other assigned attorneys.
