Position SummaryBechtel is seeking an Administrative Assistant supporting ES&H construction team for the Manufacturing and Technology business line, based in New Albany, Ohio. Plans, controls, and carries out the administrative activities of one or more key result areas, e.g., document control, communications control, file administration, discipline support, or client administrative support.
Provides support under the direction of senior ES&H management in the identification, drafting, and finalization of comprehensive ES&H reports at all levels within Bechtel.
ResponsibiltiesPerforms special assignments that require knowledge of Bechtel policies, instructions, systems, processes, procedures and organizational structure, with the ability to analyze, interpret, and make recommendations and implement required actions.
Assists in the management of requisite occupational medical records for Bechtel employees.
Assists in the development and distribution of ES&H policies, procedures, specifications, alerts, bulletins, and other similar information.
Aids in the maintenance of various ES&H WebPages.
Assists in the management of requisite occupational medical records for Bechtel employees.
Coordinates training materials and assists in instructor led classes for ES&H Management.
Coordinate complex logistics, visa applications and security for traveling managers; maintain organizational travel calendar.
Coordinate domestic and international travel (air and ground); prepare detailed itineraries; and complete expense reports using Concur for assigned personnel.
Maintain files (hard copy and electronic) using I Maintain files (hard copy and electronic) using Aconex.
Prepare regular and special reports as requested.
Assists in implementing the review, updating and publishing of ES&H site procedures.
Assists in testing databases and working with IT and the appropriate managers to resolve deficiencies during the development phases of ES&H information systems.
Reviews incoming communications, work orders, and service requests for subject matter content and routes them to appropriate supervisor’s attention. Composes routine correspondence in response to requests for department services; answers inquiries from other departments, area offices, or outside entities.
Develops and coordinates costs associated with annual ES&H meeting.
Extracts data from reference material, either semi-technical or non-technical in scope. Compiles, analyzes, and prepares or helps prepare information for studies or reports, such as organization planning, charts, graphs, and work load forecasts.
Coordinates obtaining assigned office space, telephone, computer, and identification badges for ES&H new hires, rehires, and transfers in to assigned office.
Organizes material for meetings, presentations, and training sessions. May operate a variety of audiovisual equipment in the presentation of programs, orientation, and conferences.
Reviews deliverables of assigned staff and monitors quality to ensure that all documents conform to established standards and procedures.
Assists in cross-training other personnel in professional or discipline-specific skills, techniques, and procedures.
Performs other duties as assigned by supervisor.
Qualifications and SkillsBasic QualificationsRequires a high school diploma or equivalent and five years of related secretarial/administrative experience.
Must be able to pass a drug screen and background check.
Must have a valid Drivers License.
Additional QualificationsMust be able to demonstrate basic to intermediate proficiency using Microsoft Excel, Word, Outlook, and PowerPoint. A skills assessment will be administered to test proficiency.
Must have excellent written and verbal communication skills, including (spelling, grammar, punctuation, and proper use of syntax). A skills assessment will be administered to test proficiency.
Ability to operate standard office equipment.
Knowledge of filing systems and common office procedures.
Excellent oral and written communications skills.

Knowledge and understanding of Bechtel's organization, policies, instructions and processes for people, ES&H and operational interactions.
Understanding of ES&H organization and its interrelation with other Bechtel organizations to properly prioritize major tasks for ES&H and other departmental requirements.
Understanding of and the ability to use Bechtel standard computer based systems as well as other systems used within ES&H.
Ability to extract and compile data for reports and conduct studies of an analytical nature.
Must be proactive, have above-average organizational skills, use individual initiative and follow assignments through to completion.
Proven administrative capability including the ability to multitask while maintaining attention to detail and accuracy.
Must be flexible and willing to shift gears and take on unexpected and/or unanticipated projects as needed.
Must demonstrate a positive attitude and work effectively with all levels of internal and external customers.
Ability to extract, compile, and assemble data for the preparation of reports.
Demonstrated knowledge of filing systems and common office procedures.
