Our client, a safety and inspection company is seeking a detail-oriented and organized Data Entry/office Clerk to join their Procurement Department. This role is instrumental in maintaining accurate and up-to-date information related to procurement processes.
Job Summary:
The Data Entry Clerk in the Procurement Department will be responsible for inputting, updating, and maintaining data related to procurement activities., matching purchase orders, vendor communication, and contractor scheduling.
This role requires precision, attention to detail, and the ability to collaborate with procurement professionals to ensure the accuracy of information.
Requirements
Key Responsibilities:
Data Entry:
Input and update procurement-related data into the company's database or procurement management system.
Ensure accuracy and completeness of data entries.
Purchase Order Processing:
Assist in processing purchase orders by entering relevant information, such as item details, quantities, and suppliers.
Collaborate with procurement staff to verify and validate purchase order data.
Vendor Information Management:
Maintain and update vendor information, including contact details, pricing agreements, and performance evaluations.
Ensure that vendor data is current and accurate.
Inventory Data Maintenance:
Input and update inventory data, including stock levels, reorder points, and product specifications.
Collaborate with the procurement team to reconcile inventory records.
Document Management:
Digitize and file procurement-related documents.
Ensure proper organization and accessibility of procurement documentation.
Quality Assurance:
Conduct regular audits of procurement data to identify and rectify discrepancies.
Work with the procurement team to resolve any data-related issues.
Reporting:
Generate regular reports on procurement activities, including order status, vendor performance, and inventory levels.
Provide data insights to support decision-making.
Communication:
Communicate effectively with procurement professionals to gather necessary information for data entry.
Collaborate with cross-functional teams as needed.
Qualifications:
High school diploma or equivalent; additional certifications in data entry or procurement are a plus.
Proven experience as a Data Entry Clerk or similar role, preferably in a procurement setting.
Familiarity with procurement processes and terminology.
Proficiency in data entry software and Microsoft Office Suite (Excel, Word).
Excellent attention to detail and accuracy.
Strong organizational and multitasking skills.
Ability to work collaboratively in a team environment.
