Job Summary:
This individual will be an integral part and lead role of the Learning and Development organization by leading and owning the Budget Oversight and process for all divisional six BUs and shared services, lead, manage and maintain the Learning Management System for all six BUs and Canada, partner with the Learning and Development Senior Director and Training Managers at the lead for Project Management for all L&D initiatives, will be responsible for overall administrative and operational tasks of the department, and exhibit the ability to collaborate in a cross functional capacity with all BUs Teams. This individual will lead and own the POA and Fast Start meeting timelines by leading the cross functions team meetings and communications to ensure adherence to all processes and deadlines.
Area of Responsibilities:
Primary Contact and Lead in L&D Department budget - Managing / Reconciling all MSAs, contracts, SOWs, and Purchase Orders (PO) 30% of time devoted
Lead role with Senior Director of L&D in each step of the budget processes
Oversee budget spend from start to end and streamline the forecasting process for all BUs
Lead proper onboarding of new vendors
Ensure proper support of contracts and execution
Lead all aspects the Master Service Agreement process
Lead and Own the SOW submission process
Monitor purchase orders (POs) to ensure appropriate funding and closed POs upon completion and assist with accruals and budget forecasting
Lead oversight during the budget submission process
Develop and lead Budget Tracker for each L&D Business Unit and Central Staff
Collaborate with Senior Director to create and drive the objectives and forecast
Collaborate with L&D Team Members to help meet departments timelines on projects
Set up and lead monthly meetings with each L&D member with L&D Senior Director and finance to review budgets
Meet with Finance team to review and reconcile purchase orders and ensure budget accuracy and report back to L&D Team
Continue to improve monthly/year-end accrual process inducing variance explanations
Review and code invoices to prepare for final approval

Partner with Senior Director and Training Managers to lead operations and logistics for each commercial training meeting 30% of time devoted
Collaborate with internal and external business partners to coordinate logistic onboarding and meetings
Project Lead with the logistic operational planning for the Area Field Trainers Summit
Coordinate all aspects of Offsite training meetings; including all meeting logistics
Lead the cross functional team to identify and develop all processes and timelines for all POA and Fast start meetings, while holding each team accountable for their tasks
Develop materials for all training classes, including but not limited to Certificates for class certifications
Align with the Training Managers across divisions to align on the shared training calendar
Lead for All Project Management Projects, Programs, and Initiatives
Learning Management System and Technology 30% of time devoted
Developed, manage and oversee the Sun US and Canada organizations LMS
Oversee compliance of all field sales curriculum
Lead, identify and management of all technology training
Develop and share training and best practices for LMS to ensure quality user experience
Work with cross functional team as necessary to ensure LMS meets organizational needs
Identify and implement future capabilities
Understand Veeva Vault lead the linking of systems
Learning and Development Coordinator for Administration 10% of time devoted
Assist in the management of Senior Directors calendar
Manage Senior Director Expenses
Maintain organization of L&D work areas and storage closet
Take meeting notes at our weekly Training Department meetings and other meetings
Order L&D Supplies as needed
Education and Job Qualifications:
Bachelors Degree
7+ years Pharmaceutical experience
Certificate or degree in Project Management
5+ years of Budget Management for large department
Experience in management of Learning Management System
Experience with Veeva Vault system
Proficient in coordination of department administrative tasks
Ability to multitask in high paced environment
Oversight of curriculum across all BUs to assist in standardization, eliminate redundancy and demonstrate fiscal responsibility
Ability to work across boundaries to internal and external partners, influence and build consensus with various stakeholders in order to get results
Strong technical/functional skill
Strong analytical skills and ability to think strategically
Ability to communicate technical concepts to a wide range of stakeholders
Must demonstrate an ability to drive execution of key initiatives and meet all deadlines
Must have a strong ability to prioritize and work effectively in a fast-paced, dynamic environment
Must have strong oral and written communication skills
Proficient in Microsoft suite: Word, PowerPoint and Excel Required
