The administrative position shall facilitate the communication and administrative tasks established at Christ the King Church. This position is hourly with the understanding that this function will at times exceed the number of hours scheduled. This position offers the flexibility of job sharing divided between clerical and financial responsibilities.
Hours: Monday -- Thursday 9:00 am to 1pm
Vacation and Holidays:
Holidays granted with full pay include -- New Year's Day, Easter, Memorial Day, July 4^th^, Labor Day, Thanksgiving (day), and Christmas (day).
Paid Vacation (granted annually):
One week (5 days) -- after one year of service.
Two weeks (10 days) -- after three years of service.
Three weeks (15 days) -- after ten years of service.
Personal Days:
One week (5 days) will be granted as personal days per year. Vacations and personal leave will be coordinated and approved by the Pastor.
Qualifications: People skills, knowledge of computer programs, use of general office equipment, ability to complete digital bulletin, time management, flexibility with tasks, and ability to work independently as well as with others.
Responsibilities:
Serve as the Pastor's administrative assistant in managing all mail, typing of correspondence, scheduling in-house visits, or any other tasks as needed.Receive, sort, and distribute all mail.Prepare weekly bulletins, children's bulletins, and special occasion bulletins.Prepare and coordinate Church Council agenda packets for monthly meetings.Receive all incoming calls and forward voice mail messages appropriately.Serve as a front-line person for individuals accessing the church and its facilities and services.Possess skills necessary to perform tasks using computer programs (such as Microsoft Office, QuickBooks, and church software) for the efficient operation of church business.Ordering of all supplies.Prepare and distribute annual reports.Process annual tasks (such as updating time and talents, giving, and the church constitution).Schedule volunteer readers and communion assistants.Miscellaneous tasks as needed.Record Keeping:
Enter properly into the church's permanent records all ministerial acts, reception, and dismissal of members on an up-to-date basis.Update church directory as needed.Track church attendance.Receive data pertaining to baptisms, weddings, and funerals and record keeping for each occasion.File letters, documents, and other church related material.Financial Responsibilities:
Receive monies and channel them to the proper individuals and/or groups.Process employee payroll, process reporting of employee quarterly taxes, and prepare W-2's annually.Process payment for all invoices.Input weekly offerings and prepare quarterly statements of giving.Miscellaneous:
The office administrator will be directly accountable to the Pastor for the performance of duties. Any requests, concerns, or complaints involving this position shall be brought before the Pastor. Any other services the office administrator gives not described in this job description shall be given only after the mutual consent of the Pastor.
The Executive Committee shall review the responsibilities and performance of this position in making recommendations concerning compensation. This committee shall also serve as a vehicle for the office administrator to express personal concerns, questions, or complaints about the job which he/she might not want to share with the Pastor.
