This position is a key contributor to all operational and administrative functions for Student Services and TRIO programs, provides consultation to unit leaders, and serves on the unit leadership team. The position supervises one FTE and reports to the Director of Student Services. The budgeted salary range for this position is $50,000 - $63,000 DOQ. Final salary offers are dependent on the candidate's experience, skills, and internal equity within the department. Job Responsibilities Administrative Support and Supervision - 45% Oversee and manage the daily and strategic administrative support operations (finance, payroll, human resources, facilities, technology) of Student Services and the TRIO programs. Supervise the work of the Human Resources and Finance liaison for the unit ensuring appropriate interpretations of administrative policies impacting those areas. Serve on the Student Services Leadership Team as an active participant and consultant, take notes, and revise and update meeting schedules. Share information from operational committees to supervisors and directors as needed. Attend TRIO Directors meetings to offer administrative support and provide operations updates (i.e. HR, finance, facilities). Serve as the Student Services and TRIO program representative at the college's department administrators meeting. Develop, revise and document unit specific policies and post on the Sky intranet including policies on communication and office operations. Oversee fair and equitable human resource management processes for the unit including writing position descriptions, recruitment, hiring, employment contracts, training, on-boarding, unit administrator for PAT, equity request and reclassification documentation support. Consult and partner with CEHD in other HR areas as needed. Manage and consult on the process of contracts for professional services, vendors, and submitting invoices for services. Oversee all business processes with office management operations. Maintain and replenish office supplies, postage and equipment for Student Services and TRIO programs. Coordinate college's technical equipment check-out process and management of digital display platforms for TRIO programs and Student Services. Manage and coordinate information for The Loop (unit's internal newsletter). Review and approve Student Services and TRIO payroll biweekly using knowledge of the various chart strings and payroll variances (cost share, split appointments, leaves, et.). Manage special projects as assigned that support the unit's mission and goals. Undergraduate Scholarship Coordination (35%) Coordinate and manage all aspects of a multi-step CEHD undergrad scholarship process from marketing through application, review and awarding. Scholarships include competitive academic scholarships, collegiate study abroad scholarships, first year and transfer admissions scholarships, internship grants, emergency grants, and commencement participation s holarships. Collaborate with key stakeholders throughout the scholarship coordination process including scholarship review committees, Office of Student Finance, CEHD Financial Services Office, the Office of Admissions, and Student Services and TRIO program staff. Set scholarship spending plans in collaboration with CEHD Financial Services Office. Develop scholarship review processes that align with the eligibility requirements specified by donors (MOUs) including assessing student profiles for consideration of both student academic promise and financial need. Create and revise scholarship application forms to ensure accessibility for students and market scholarships to obtain a scholarship applicant pool that is fully representative of all CEHD student populations. Coordinate with CEHD External Relations/Development office in their work with prospective donors in articulating the financial needs of CEHD students, especially those from low-income and first-generation backgrounds. Work collaboratively with Development staff to create new student scholarships. Student staff hiring, training, and supervision - 15% Oversee the main functions of the Student Services front desk staffed by student workers to maintain a pool of student talent to be shared across Student Services. Coordinate student staffing and training for unit initiatives and events, in collaboration with key stakeholders. Communicate staffing support needs and progress to unit leadership. Provide leadership in coordinating student staff office-wide training and on-going use of APLUS software for appointment scheduling and student records. Manage appointment scheduling for all student services staff. Facility Management - 5% Management of the department's physical facilities, equipment, information services, and building services, responding to requests from the CEHD Director of Facilities and Space Planning. Serve as liaison with Facilities Management for larger projects, including use of TRIRIGA and space assignment software, key assignments, UCard security assignments. Serves on the building committee for Education Sciences and is the main liaison to CEHD Facilities Manager. Assess, recommend, and execute department's space utilization, facility and service needs, identify strategies for meeting them in collaboration with unit Directors. Report and request service for day-to-day facilities concern, serving as the primary facilities contact for Student Services and TRIO program staff. Qualifications Required Qualifications Bachelor's degree or a combination of education and experience equal to four (4) years. Minimum of two years providing administrative support in an office setting. Experience using Microsoft Office Suite, Google Workspace/email, and Zoom. Ability to collaborate effectively with people from a variety of communities, backgrounds, and identities. Preferred Qualifications Prior supervisory experience.
