About Business Manager, Blair Performing Arts Center

  The Business Manager for the Blair School of Music - Performing Arts Center is a key independent contributor responsible for contractual processing and implementation, as well as financial management of all Performing Arts projects in collaboration with other Blair and Vanderbilt campus departments as part of the Production Services area. The Business Manger receives and processes all Blair Guest Artist Contracts, which includes ensuring that all contracts are legally and financially appropriate and will work closely with the Blair Administrative Specialist regarding artists travel needs. Collaborating with Blair’s Office of Finance and Administration, the Business Manager will ensure that all contractors are appropriately registered and paid. Reporting to the Executive Director of Presenting Services, this position assists the Executive Director with financial planning of The Martha Rivers Ingram Hall, Blair Performing Arts venues, Vanderbilt Opera Theatre, and various projects as appropriate. This position requires an individual that is self-motivated, enthusiastic, and technologically savvy. The Business Manager must also possess excellent communication, coordination, and organization skills, and demonstrate attention to detail and time management.

  Duties and Responsibilities:

  Assist the Executive Director with the financial planning and oversight of the Production Services

  2 of 4 budget. This includes assisting in compilation of budgets and revenue/expense projections from managers within the Production Services area, recommendations on allocation of resources to fund areas, and the management of the various funds to ensure prudent spending and allocation, with an eye to staying on budget for the fiscal year.

  In collaboration with the Senior Administrative Officer and under the guidance of the Chief Business Officer, apprise all managers within the Production Services area, on a monthly basis, of progress towards their annual budget income and expense goals.

  Serve as the key procurement specialist for the Production Services area through the initiation and execution of purchase orders, non-purchase order payment requests, entertainment expense reports, and University business card.

  Process and execute all Guest Artist Contracts for the Blair School in coordination with the CBO and central Purchasing and Payment Services. This includes analyzing each contract and rider point-by-point to ensure they are properly aligned with the financial and artistic plans of the Blair School as well as the policies of Vanderbilt University.

  Oversee guest contract rider fulfilment.

  Monitor and utilize the REDCap platform for purchasing and guest artist intake requests from faculty as related to the performance venues.

  Act as a backup to the Administrative Specialist as guest travel coordinator for guest artists, coordinating and procuring all travel required for visits in accordance with university travel and expense policies, as needed.

  Maintains an extensive understanding of the university’s chart of accounts and procurement policies and procedures, as well as institutional and departmental policies, and ensure compliance for the Production Services area.

  Serve as lead for the development and processing of contractual agreements and financial execution of all assigned projects.

  In collaboration with the Event Production Director, manage, negotiate, and draft all contracts for Vanderbilt Opera Theatre including, but not limited to designer agreements and performance rights.

  Execute all of the above in a timely manner to ensure that the Executive Director is fully informed through written and/or oral reports of the financial position of the Center when requested and as any salient and significant changes are anticipated.

  Review and assess the finances and human resources necessary for activity proposed for the performance venues.

  Work closely with and assist the Executive Director in creating the proposed annual budget for the coming year to be presented to the Dean and CBO on a timeline to be determined annually. This will occur after meaningful consultation with the managers within the Production Services area.

  Assist, as needed, with the coordination of all activity approved by the Executive Director on Blair’s stages and public spaces so that collectively it achieves the goals, mission, vision, values, and finances of the Blair School and does not strain the capacity of individual areas.

  Act as liaison between VU and contractors as needed.

  Research, implement and serve a key role in maintaining all software, both existing and to be acquired, in order to properly run the performance venues.

  Represent the vision and leadership practices and overall interests of the Dean concerning the management of the performance venues in the Executive Director’s absence.

  Assist Blair faculty as needed to secure permission for live performances to be streamed online. This includes direct outreach to music publishers to request streaming licenses.

  Establish ticket sale software, ticket prices, and oversee annual single ticket campaigns for individual performances. Work with Executive Director of Presenting Services and Marketing & Communications Director to increase ticket sales percentages year over year.

  Oversee the Box Office Manager to build and manage events in the online ticketing platform, serving as a backup when necessary.

  Play a key role in the planning and execution of all performance venue process updates and changes.

  Attend events, conferences, and meetings as needed either with or in representation of the Executive Director.

  Assist the Executive Director in bringing to life the vision for the Blair School through leadership participation on all special initiatives.

  Other duties as assigned.

  Supervisory Relationships

  This position reports administratively and functionally to the Executive Director of Presenting Services. This position supervises the Box Office Manager.

  Qualifications

  A Bachelor’s degree from an accredited institution of higher education is required.

  A degree in business or finance is preferred.

  5 years of relevant experience is necessary.

  Arts and entertainment contracting experiences is preferred.

  Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community is necessary.

  Ability to communicate effectively, both orally and in writing is necessary.

  Ability to make administrative/procedural decisions and judgments is necessary.

  Ability to perform complex tasks and to prioritize multiple projects is necessary.

  Excellent ability to organize and coordinate is necessary.

  Records maintenance skills are necessary.

  Ability to prepare research reports and proposals is preferred.

  Knowledge of Vanderbilt programs and systems is preferred

  Ability to provide technical advice and information to staff in area of expertise is necessary.

  Ability to analyze budgetary line items for compliance with budget guidelines is necessary
