  Description:

  The Business Affairs Contract Specialist will be responsible for preparing, negotiating, tracking, and maintaining contracts entered into by Publix, specifically the Marketing Department to mitigate risk. This includes evaluating and understanding the business relationship between Marketing and the outside vendor to ensure that the correct contract is utilized, and all contract terms outlined in the agreement meet Publix’s acceptable terms to protect Publix from any risk or liability including financial or brand implications. This role will work with vendors directly to negotiate contract terms and ensure contract conditions adhere to Publix guidelines. The Contract Specialist will also partner with Publix Corporate Counsel when contract negotiations reach a point that do not align with Publix's acceptable terms and require alterations to contract language along with partnering to resolve contract disputes.

  In Publix’s corporate offices, we value in-person interactions, similar to those our store associates have with customers. Many of Publix’s corporate offices offer work from home up to two days a week. Each business area implements their policy differently and should be discussed during interviews.

  Responsibilities

  Leading cross-functional Marketing contract initiatives with a strong understanding of the department and various business areas in order to consult on contract negotiations, meet business needs, and understand services provided by the vendor to maintain compliance with Publix and Corporate Counsel’s contract requirements and expectations.

  Continuously driving a multitude of contracts at different points of evaluation and negotiations simultaneously to ensure that timelines and deliverables are not in jeopardy.

  Identifying the proper contract from the full portfolio of contracts that Marketing utilizes to create and draft contract(s) based on the services Marketing will be receiving. This includes working with the Marketing business areas to identify the scope of work, performance of work, payment terms, and other pertinent information to ensure that all expectations are clearly outlined to be able to hold the vendor accountable and ensure Publix is protected.

  Analyzing vendor contracts to determine if the contract terms and language are acceptable to Publix’s risk tolerance.

  Revising and negotiating vendor contracts to incorporate Business Area risk tolerance, legal terminology, and provisions and determine if there is any potential financial and/or legal liability or brand implication.

  Collaborating with Corporate Counsel when engaging with Vendor’s Legal team as needed to ensure the contract text is suitable from both sides’ legal perspective.

  Providing contract consulting services to the Marketing Department. This includes reading supplier contracts to help the business area understand terms and provide business relationship guidance when applicable.

  Leading and supporting ongoing contracts trainings, finding opportunities in process, and keeping department up to date with contract best practices.

  Year End Bonus:

  To reward associates for their contributions to the company for the calendar year, Publix provides a Holiday Bonus in November. In the first year of continuous employment the bonus is equal to 15 hours of pay, and in the second year of continuous employment the bonus is equal to one week’s pay if associate remains employed through issue date of the bonus check. In subsequent years, the bonus is equal to two weeks’ pay.

  Required Qualifications:

  Associate's degree in Marketing, Business, Legal, or related equivalent job experience

  At least two (2) years in contract administration or paralegal experience in a business law related field

  Knowledge of standard and alternative contractual language

  Ability to manage time effectively to meet deadlines

  Excellent communication and interpersonal skills to effectively communicate with various levels of Publix associates and external vendors

  Ability to draft and revise contracts using approved contract clauses

  Ability to identify, rectify, and resolve contract conflicts and opportunities to ensure that Publix is protected from any risk or liability

  Ability to manage relationships and negotiate contract terms with vendor(s)

  Ability to clearly communicate in writing and verbally

  Ability to be detail oriented

  Preferred Qualifications:

  Bachelor’s degree in Marketing, Business, Legal, or related equivalent job experience

  Four (4) years in contract administration or paralegal experience in a business law related field

  Knowledge of Publix Marketing organization structure, interconnectivity, processes, and timelines

  Knowledge of Publix contract review policies and contract types
