SUMMARY
Under general management, directs skilled and unskilled staff in the daily operations and maintenance of buildings, grounds and equipment for either multiple locations or a single location with a 7-day operation. Frequently this level position oversees both the inside building services as well as the grounds and exterior infrastructure. Buildings are either leased or owned and may have some functions and responsibilities handled by a landlord or outside companies. Locations also house specialty programs with building service needs that require advanced skill and knowledge in building services oversight. Oversees a range of functions such as: building services, inventory and distribution, safety and security, and parking. Serves as on-site technical consultant for issues related to daily operation of the building and infrastructure. Supervises and trains employees. Delegates assignments to ensure timely and efficient completion of projects.
GENERAL DUTIES AND RESPONSIBILITIES
Oversees on-going maintenance and operations of the buildings for assigned practice site(s). Ensures that facilities are maintained in accordance with relevant regulations, internal standards, and fiscal considerations. Coordinates, arranges, and supervises or provides for the completion of corrective and preventive maintenance for facility equipment and systems. Functions independently in the identification and resolution of issues related to daily building services operations and consults with supervisor only when direction/approval on issues with major impact on the running of the building is needed.Usually oversees grounds operations and services including landscaping, plowing and general maintenance.Ensures the proper functioning and maintenance of all mechanical systems, including HVAC, plumbing, and electrical systems. Plans, schedules and supervises work of skilled craft maintenance workers and helpers in the inspection, maintenance, repair and servicing of plant equipment, buildings and facilities. Ensures that major equipment and furnishings are maintained in safe, operable condition and/or arranges for replacement. Develops, implements, and reviews equipment records (included in maintenance logs). Establishes procedures and contracts to ensure timely repairs of equipment requiring minor repairs on a frequent basis. Secures equipment and service bids and makes recommendations for purchase when replacement or new equipment is required.Evaluates building needs and assists in developing long- and short-term facilities plans. May serve as project leader for smaller or mid-size building improvement and renovation projects and/or oversee sub-sets of larger projects under the direction of a facilities project manager. Coordinates work to prevent cost overruns and to minimize disruption to patients and staff. Negotiates contracts when needed.Develops and maintains inventory and distribution systems needed to maintain expected high levels of service. Develops systems to track equipment and supplies and to project supply needs and contain costs. Works closely with Strategic Sourcing to assure access to needed supplies.Oversees receiving and handling of incoming mail for practice site. Sorts and prepares for pick-up general US mail and interoffice mail. Prepares outgoing mail to be either stamped locally or prepared for stamping in a central location.Provides on-site presence for staff inquires and requests related to facilities issues. Serves as technical consultant on complex issues that arise related to the building or infrastructure. Resolves problems within a broad scope of established parameters. Involves supervisor when clarification is needed and keeps supervisor informed of progress.Monitors operational policies, procedures and systems related to facilities maintenance and safety in accordance with established guidelines. Ensures that building codes and safety standards are maintained working with other internal departments and external agencies as needed. Recommends and implements changes in systems and procedures as needed.Assists in the monitoring and management of departmental operating budgets as it relates to the maintenance of facilities, grounds and equipment. May develop portions of the budget and/or makes recommendations on capital expenditures.Prepares a variety of management and financial reports related to physical operations of the practice site(s) and conducts analysis to aid in management decision-making.Handles facility related emergencies. May need to coordinate responses to after-hours calls and follow through with appropriate action.Directs and coordinates cleaning programs and service contracts.If applicable, responsible for parking function including the control of spaces, monitoring activity and accounting.Represents department on task forces or in meetings as needed.§ Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES
Supervises small group (typically 2-5 employees) in a variety of maintenance functions, with no subordinate supervisors but possibly overseeing the work of team leaders. Carries out supervisory responsibilities within areas of responsibility in accordance with the organization's policies and applicable laws. Provides direction and support to staff to assure departmental effectiveness and efficiency. Responsibilities include interviewing, selecting, orienting and training employees; planning, assigning, and directing work; evaluating performance; rewarding and disciplining employees; reviewing personnel actions of subordinates and addressing complaints and resolving problems. May work with supervisor on issues related to salary and/or disciplinary action of subordinates.Must supervise the equivalent of at least 2 full-time employees.
EDUCATION/LICENSES/CERTIFICATIONS
High School diploma (or equivalency) required. Bachelor’s Degree in related field preferred. Licensing in recognized trade preferred.
EXPERIENCE
Minimum five to seven years’ experience in facility maintenance required with at least 3 in a
supervisory or lead capacity.
SKILLS
Candidate must have excellent knowledge in all areas of HVAC, Electrical, Plumbing, Budgeting, Inventory Control, Leadership and Training. Strong communication and follow-up skills needed. Familiarity with building codes and OSHA.
