JOB PURPOSE
The role will act as a support for the general running of the office focusing on key policy and regulatory matters regarding governance and administration. Support the Bank on all business strategies, initiatives, projects and operational issues.
KEY ACCOUNTABILITIES
Business Management Responsibilities:
Assisting the Authorised Management of Luxembourg to -
Gather data for use within Management Reports
Assist in the creation of a variety of Management Reports
Request source system static data setup
Contribute to the Business Continuity planning across the business
Assist Business Managers support Luxembourg in daily and exceptional activities
Governance Compliance:
Oversee governance and control functions/issues on behalf of the business -
Support the Bank in compliance with Change Initiative Risk Assessments (CIRAs) with respect to new initiatives
Support execution of new contracts and agreements with vendors and partners in collaboration with Corporate Services, Legal, and other internal stakeholders
Collaborate with internal partners to set up or remove access to CIBC systems as necessary
Complete and attest to CIBC governance functions –User System Access, Contract Review, etc.
Work with front office and internal partners in the implementation of new compliance and governance requirements
Support the Bank with internal and external audit matters such as auditor/regulator requests, findings and reports
Act as a compliance liaison (registrations, continuing education, working supervisory procedures)
Coordination of keeping Front Office Policies Procedures up to date and approved
Support in the investigation, document, and reporting of incidents and errors
Assist in the design and implement improvements to internal procedures and practices, and ensure that an effective and documented internal control structure is in place as evidenced by policies and procedures specific to the individual business activities
Assist Business Management managers and key infrastructure partners to ensure operational issues impacting the business are resolved
Finance/MIS:
Work with the business and Finance Business Support to develop:
Senior Management and Board Presentations
Presentations for onsite/offsite conferences
Ad-hoc presentations
Review, validate, and approve appropriate invoices from vendors and partners
Company Secretarial and General Office:
To service and take minutes of Executive Committee meetings and other meetings as required.
Designs and implements office policies by establishing standards and procedures
Oversight of the office requirements regarding roles, backups and gaps for health safety, first aid and fire warden positions.
Assist in administrative tasks related to Business Continuation Planning (BCP) policies and procedure of CIBC Luxembourg.
Support the Bank in regards to its Record Management duties.
Assist the Bank with the oversight and controls regarding the Teleworking Policy.
CROSS-FUNCTIONAL RELATIONSHIPS
Will require liaising and working with internal stakeholders in other CIBC offices. Liaison and interaction with external stakeholders such as CIBC clients, third party vendors and service providers.
Considering the nature and size of CIBC Luxembourg office, role would have close interaction with all staff members of the CIBC Luxembourg Office.
KNOWLEDGE AND SKILLS

Education You’ve Completed. Equivalent to University degree
Industry Experience. Strong knowledge of Financial Products (products and processes) with a minimum of 5-7 years of working experience in Capital Markets, ideally within derivatives businesses
Communication. Able to very quickly acquire knowledge, to demonstrate competence and to add value to the maintenance of internal processes and client relationships. Excellent interpersonal and presentation skills. Excellent oral and written communication skills.
Technical. Excellent working knowledge of PC applications (Excel, Word, Power Point).
Detail Oriented. Excellent analytical and conceptual skills. Efficient organizational skills to respond to shifting priorities on simultaneous projects.
Self-starter, motivated individual with an ability to work within a pressurised Front Office environment
Experience of working within Investment Banking, or relevant educational qualification
Strong attention to detail
Excellent communication skills
Accomplished analytical skill and an ability to interpret data
An ability to thrive within a Front Office environment and be able to prioritise tasks
Good Microsoft Office skill
Excellent communication and written skills
