University Advancement at the University of Virginia (UVA) is seeking a highly qualified candidate to join the Operations team as an Advancement Associate. The Advancement Associate will assist with administrative tasks such as travel and expense reimbursement, event and presentation preparation, scheduling and calendar management, data entry, and reporting. In addition, the Advancement Associate will provide support and coordination for a variety of other administrative tasks and assigned projects within Advancement Operations. The Advancement Associate will provide direct support to the Operations Leadership team and may work closely with the Senior Associate Vice President for Advancement Operations (AVP).
Key responsibilities:
Plan and staff meetings and team events, ensuring seamless execution.
Provide website maintenance to ensure up-to-date and relevant information.
Manage and coordinate schedules for key personnel.
Schedule and coordinate travel arrangements for team members.
Process reimbursements efficiently and accurately.
Assist with vendor relationships, including renewals and contract management.
Coordinate team projects to ensure tasks are completed on time and within scope.
Strong candidates for this role will have excellent organization and prioritization skills, with demonstrated proficiency in managing multiple tasks simultaneously. The incumbent will be detail-oriented with a high level of accuracy and have excellent written and verbal communication skills. Preference will be given to candidates with experience maintaining database records and producing reports, and utilizing design tools (e.g., Canva, Adobe Design Suite) to produce presentation materials.
Required Qualifications:
Education: High School Diploma or equivalent
Experience: At least two years of experience providing administrative support in an office environment. Experience as an intern or volunteer may qualify.
Preferred Qualifications:
Bachelor’s degree
At least three years of administrative experience supporting high-level leaders
Proficiency with Microsoft Office suite
Prior experience with CRM databases and other marketing or event software such as Advance, Marketing Cloud, Eventbrite, etc.
Strong organizational and multitasking skills.
Experience with data entry and management.
Excellent written and verbal communication skills.
Ability to work collaboratively in a team and independently.
Detail-oriented with a high level of accuracy.
Experience creating presentation materials
