NMPP Energy, located in Lincoln, Nebraska is looking for an Administrative Support Coordinator to join our team!
The Administrative Support Coordinator supports the mission of NMPP Energy by:
Providing best-in-class administrative support to the NMPP Energy team by:
Coordinating meetings including arranging spaces, setting up audiovisual equipment, preparing materials, ordering and managing logistics of meal delivery, setup, and clean up
Writing, creating, editing, formatting, proofing documents
Assisting with preparation of board meeting materials and attending board meetings
Coordinating travel arrangements including flights, rental vehicles, ground transportation, lodging, and travel itineraries. Providing documentation for invoice reconciliation.
Managing the needs of the NMPP Energy office building, including oversight of maintenance and repairs, cleaning services, HVAC, building security and emergency systems. Coordinating with maintenance and repair vendors and providing input related to building maintenance forecasts and budgets.
Managing the member contact database and master resolution spreadsheet by contacting member communities to gather needed information and ensuring accuracy of groups and lists in the database. Creating and running queries and producing reports and labels for staff as requested.
Overseeing and monitoring all office supply inventory levels, creating purchase orders, and coordinating with vendors to place timely and efficient orders for supplies. Overseeing relationship with copy machine vendor including submitting meter readings, coordinating repairs, etc.
Answering and directing phone calls as well as greeting all NMPP Energy members and guests and assisting them with signing in and notifying host of guests- arrival.
Opening, distributing, and posting mail, coordinating production of large mailings with outside parties and maintaining knowledge of mailing standards, and preparing packages for shipment.
Assisting with writing, tracking, and coordinating annual review of organizational standard operating procedures.
Interacting with member communities and providing assistance for their needs.
Qualifications that make you shine:
High school diploma or GED and 3-5 years of relevant work experience; or equivalent combination of education and experience
Demonstrated ability to provide exceptional customer service at all times
Track record for taking initiative and improving processes in a dynamic work environment
Highly organized and detail oriented
Strong verbal and written communication skills
Comfortable managing multiple tasks/projects with little direction
Strong skills in anticipating needs, identifying resources, & effective problem-solving
Working knowledge of Microsoft Office products including Outlook, Teams, Word, Excel, Publisher, and PowerPoint
Regular, dependable attendance

We provide wholesale electricity, wholesale and retail natural gas, and utility services to member municipalities, most of which are small, rural communities.
