Responsibilities
Meritage Homes is looking for an Executive Assistant/Human Resources Coordinator to perform senior level Executive Assistant responsibilities for our West Region President, in addition to his regional leadership team. This role requires ability to exercise initiative, discretion, judgment, tact, and diplomacy with sensitive, complex, and highly confidential information in a very fast-paced environment. The incumbent is responsible for providing advanced, diversified, and confidential administrative duties that require broad and comprehensive experience, skill, and knowledge of organizational policies and practices.
Main responsibilities Include:
Coordination and assist with the day to day needs of the local Division OfficeAssist and support the Operations TeamDuties include but are not limited to:
OFFICE
Maintain office supplies and equipment.Invoice processing & vendor set-up.Order company dress and gifts.Plan, schedule and coordinate quarterly meetings and events for the Division.Contribute to the Division's culture; develop and collaborate on employee engagement activities.Maintain Division phone lists.PowerPoint presentation development and editing.Coordinate web and video conferences, maintain conference room calendars.IT related responsibilities include the following: Access and termination requests, new hire equipment, employee hardware management, Construction office internet setup and closures, coordinate Division office moves (if applicable), and act as a liaison between employees and IT.
OPERATIONS
Oversee permitting process and applications to municipalities and utilities.Weekly update distribution of Community MapsCoordinate and communicate all warranty requests including follow up communications and internal reports.Liaison between operations, sales and escrow as required ensuring timely and proper hand-off's and communications.Assist Land, Purchasing and Construction leaders with indirect budgets, billings/invoices and administrative duties.Provides support for Area Managers. Special Projects as assigned.
PEOPLE OPERATIONS
OnboardingCreate new hire requisitions.Oversee candidates through background and onboarding systems and processes.Set up new hire's office/workstation (if applicable).Assist in the creation of the new hire's onboarding plan and new hire announcement.Conduct new hire orientation including new hire paperwork, submitting I-9, E-Verify.Partner with People Operations on talent analysis, promotions, transfers, leaves of absence, terminations and job changes as needed.Prepare and submit employee bonuses.Prepare and submit employee changes including terminations, new hires, job changes and promotions.Responsible for maintaining and uploading confidential employee documents, including bonus plans, goal alignment forms, review forms, performance management, etc.Act as liaison between the Benefits Team and employees, including leaves of absence.Ensure compliance with all established People Operations processes and timelines.
Qualifications
Minimum of a High School diploma required Communications Degree Preferred3+ years experience in administrative supportHomebuilding/Real Estate experience preferredGood understanding of real estate terms and processesProficiency in Microsoft Windows and Microsoft Office (Word, Excel, Hyphen, Power Point)Excellent oral and written communication skills Ability to handle multiple priorities and deadlines Attention to detail
