  Overview

  This position is 100% on-site.

  The Administrative Services Coordinator I (Staffing) is responsible for following the established daily scheduling, reporting, and staff assignment procedures, including processes for recruitment along with the general onboarding of new hires and contracted staff, under the guidance of school administration.

  The incumbent will monitor staff training, the timely submission of important documents, and prepare disciplinary documentation. Prioritization of workflow will be done in coordination with the Administrative Services Coordinator II and the principal. The incumbent must maintain accuracy and ensure confidentiality of all student and personnel information accessible to this position.

  Responsibilities

  Follow established procedures for collecting and reporting staff data to include attendance, compliance coverage, training programs, implementation of trainings programs, Family and Medical Leave Act (FMLA) usage, fingerprint information, and the submission of medical/educational documentation.

  Participate in the recruitment process for para-professional staff, to include reviewing/screening applications, scheduling interviews, interviewing in collaboration with school administration, completing reference checks, providing new hires with information about fingerprint requirements, contributing to final hiring decisions.

  In collaboration with school administration, coordinate staffing needs and follow processes with temporary contracted program staff to include reviewing applicants, selecting candidates, orienting new contracted staff and assisting with timesheets.

  Provide coverage for the school’s reception area and student attendance at the request of the Administrative Services Coordinator II or their designee. This position will rotate through front desk coverage as needed. When at front desk, maintain visual inspection of front area of the school.

  Greet parents, students, visitors, and staff; maintain visitor arrival and departure documentation; answer the telephone; screen calls; take messages; and relay information within scope of authority.

  Assist with drafting, typing, editing, and proofing a variety of materials (e.g. internal and external correspondence, memos, reports, etc.).

  Perform e-mail merges, make copies, send emails/faxes, collate and assemble materials, support staff with office equipment, and maintain an effective filing system.

  Regularly receive and distribute mail and packages within Kennedy Krieger Schools via Kennedy Krieger Institute interoffice mail, U. S. mail, and other delivery services.

  Work with other Administrative Services Coordinators to order needed supplies (e.g., coffee, tea, paper products, etc.).

  Support the transportation staff by creating and disseminating various notices to the appropriate audiences (i. e., Student late arrival, early dismissal, out of school, and bus suspensions). Be available for bus duty as assigned.

  Provide timekeeper support and back up to ensure the Kronos system has accurate and complete information each pay period and as needed. Help maintain all time keeping related documents, including Schedule Modification Forms and submitted medical documentation.

  Qualifications

  EDUCATION:

  High School Diploma or GED required.

  Associate degree preferred.

  EXPERIENCE:

  Minimum two to three years of administrative experience is required.

  KNOWLEDGE/SKILLS/ABILITIES:

  Must be proficient with Microsoft Office suite (particularly Outlook, Word, and Excel) and other computer-based software programs such as Power School.Benefits
