  Job Description:

  We are currently seeking an organized and detail-oriented individual to join our team as an Administrative Assistant/Property Management Assistant. In this role, you will work closely with our real estate professionals to ensure the smooth functioning of our office operations and provide exceptional customer service to clients, tenants, and rental owners. Your primary responsibilities will include answering phones and emails, scheduling appointments, managing administrative tasks, assisting with property management duties, and maintaining a clean and organized office environment.

   

  Responsibilities:

  Answering phones and emails promptly and professionally, providing accurate information and directing inquiries to the appropriate team members.

  Scheduling appointments, property showings, and inspections, ensuring efficient use of time and resources.

  Drafting, proofreading, and sending out postcards, letters, and other correspondence to clients, tenants, and rental owners.

  Assisting with property management tasks, such as collecting rent, overseeing maintenance requests, and addressing questions or concerns from tenants and rental owners.

  Maintaining organized filing systems for documents, contracts, and records, ensuring confidentiality and easy retrieval.

  Keeping the office clean and tidy, including organizing supplies and equipment, maintaining common areas, and managing incoming/outgoing mail.

  Providing outstanding customer service to clients, tenants, and rental owners, addressing their needs and concerns in a timely and professional manner.

  Collaborating with the team to support other administrative tasks and projects as needed.

   

  Requirements:

  High school diploma or equivalent; additional education in business administration or related field is a plus.

  Strong organizational skills, with the ability to multitask and prioritize effectively in a fast-paced environment.

  Excellent communication skills, both verbal and written, with a professional and courteous demeanor.

  Proficient computer skills, including MS Office Suite and email management.

  Detail-oriented, with a high level of accuracy in data entry and record-keeping.

  Prior customer service or property management experience is highly desirable.

  Ability to work independently as well as collaboratively within a team.

  Familiarity with relevant software and databases used in property management is a plus.
