About Administrative Operations Coordinator

  Job Description

  The Department of Mental Health (DMH) Metro Boston Fuller Site is seeking an Administrative Operations Coordinator with strong attributes in the Human Service field to work in the Greater Boston Area Office. The successful candidate for this position will work with adults who have been determined eligible for DMH services.

  The core function of this position is to assist with contract billing and procedures, guardianship processing, and client information database for the Site Office. The position is also responsible for providing required reports as needed to the Site and Area Offices.

  Duties and Responsibilities (these duties are a general summary and not all inclusive):

  Oversee housing process and placement of clients in Adult Community Clinical Services (ACCS) residential continuum of care. Record and track ACCS enrollment and disenrollments.Review and approve Service Delivery Reports (SDRs) for ACCS.Monitor and maintain contract activities and files.Maintain site chart review records and prepare new reviews for completion.Co-supervise front office administrative assistant and Legal Liaison in conjunction with the DMH Legal Office, ACCS and guardianships.Collaborate with internal staff regarding housing subsidies and client profiles to determine appropriate housing options for clients. Prepare reports and analyze information using database queries.Oversee and maintain accurate information within electronic records system.Perform administrative duties as assigned including filing and writing of forms, reports, charts and memoranda.

  Required Qualifications:

  Proficiency with MS Office including Outlook, Teams, Word, Excel, and PowerPoint.Knowledge of the principles and practices of management including planning, direction, motivating controlling, organizational development and decision making.Knowledge of the laws, rules, regulations, policies, procedures, specification, standards and guidelines governing assigned unit activities.Strong communication and presentations skills.Capacity to produce and maintain accurate records including reports, graphs, charts and tables.Ability to analyze and determine the applicability of data, to draw conclusions and to make appropriate recommendations.Ability to assemble items of information in accordance with established procedures.Ability to supervise, including planning and assigning work according to the nature of the job to be accomplished, the capabilities of subordinates and available resources; controlling work through periodic reviews and /or evaluations; determining subordinates training needs and providing or arranging for such training; motivating subordinates to work effectively; determining the need for disciplinary action and either recommending or initiating disciplinary action.Ability to exercise discretion in handling confidential information.

  Preferred Qualifications:

  Experience working in the human services field.Given the population served, bilingual or multilingual fluency.

  Qualifications

  First consideration will be given to those applicants that apply within the first 14 days.

  MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) four years of full-time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, and (B) of which at least one year must have been in a supervisory capacity, or (C) any equivalent combination of the required experience and the substitutions below.

  Substitutions:

  I. A Bachelor's degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required (A) experience.

  II. A Graduate degree with a major in business administration, business management or public administration may be substituted for a maximum of three years of the required (A) experience.

  III. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required (A) experience.

  Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

  NOTE: No substitutions will be permitted for the required (B) experience.
