Job Description
The Loudoun County Health Department (LCHD) seeks a talented and highly motivated individual to serve as an Administrative Assistant to support the Clinical Health Services division and report directly to the Customer Service Supervisor in our Leesburg, Virginia office. Core work hours are Monday-Friday, 8:30 a.m. to 5:00 p.m.
Under general direction, this position will perform complex administrative, customer service, project, and special program support work, including purchasing and administrative support to the divisions under the supervision of the Customer Service Supervisor. An incumbent in this position performs a wide range of administrative support work in the areas of data collection, budget tracking, purchasing, supply ordering, research, maintenance requests, filing, scheduling, meeting, and operational functions of the Community Health Services Division.
Specifically, this position includes, but is not limited to, the following responsibilities:
Coordinates Meetings.
Orders Office Supplies and Equipment.
Provides Customer Service.
Directs Incoming Calls.
Handles Incoming and Outgoing Mail.
Coordinates Storage and Records Retrieval, inventory control and management
Maintains and tracks data using spreadsheets and/or databases; maintains statistics and documents.
Provides administrative support for individuals or teams; records information; generates notices and maintains records.
Provides assistance with forms, editing, proofreading, submissions, and procedures.
May provide project management support to teams within Community Health Services
Monitors copiers, scanners, printers, and fax machines used in the Department and assures all equipment is operational; arranges for regular service and/or repairs; places facility work orders for the Department.
Answering phone calls
Setting up appointments in the database
Manages booking and operations of the conference room; maintains the appearance of the conference room.
Coordinates meetings, presentations, catering, and some events.
Provides backup assistance to other team members
Reconciles daily receipts or accounts receivable/payable.
The ideal candidate should have the following:
Knowledge of business English, proofreading, and spelling.
Excellent oral and written communication skills.
Ability to work with culturally diverse populations.
Skill with Microsoft Office Suite software applications.
The hiring salary is commensurate with the experience.
Job Requirements
High School diploma or equivalent; three (3) years of related clerical/administrative work experience with computer automated systems and office applications experience; or equivalent combination of education and experience.
Preferred:
Customer service and medical office experience
Bilingual skills in Spanish/English
Special Requirements
Valid driver's license and good driving record (driving records may be reviewed annually for continued qualification)

Pass background checks, including criminal, fingerprinting, and DMV checks.
Have or obtain a Notary Public certificate within 30 days of hire.
Pass TB test within 10 days of hire. Vaccination or proof of vaccination as required for Health Care Personnel by the Virginia Department of Health as required by the assignment.
