Salary is Non-Negotiable. The successful candidate will be hired at the minimum salary.
This is legal secretarial work handling administrative duties that assist the Domestic Violence Division Director in all aspects of court operations and provide support to the judiciary for case management functions.
This position is eligible for a hybrid remote work/onsite schedule after a 90-day period, as outlined by existing Circuit policies and procedures.
Responsibilities:
Provides administrative and operational assistance to the Division Director as necessary including coordinating the Director’s calendar and scheduling events.
Prepares procedural manuals and materials for the case management and judicial training manuals.
Performs a variety of office administrative tasks including case monitoring, tracking, and coordination of judicial events.
Acts as liaison between the court, other agencies and the public by providing information and responding to telephone inquiries.
Provides assistance in maintaining all domestic violence civil injunction calendaring tables including daily calendaring modification as requested by different court agencies.
Coordinates with external providers to receive Affidavits of Noncompliance with court-ordered treatment and prepares civil contempt calendars for the judiciary; and attends all civil contempt sessions.
Collects and analyzes data with regard to civil contempt calendars for the judiciary.
Prepares and compiles monthly and yearly division statistics for civil and criminal operations and analyzes statistics to track changes and trends that affect the division.
Evaluates data and creates reports utilizing charts and bar graphs.
Assists in providing court documentation and disseminating reports.
Assists in coordinating and preparing materials for site visits and quarterly operations meetings.
Maintains and updates contact lists of interdepartmental agencies and acts as a liaison between them.
Coordinates office supply orders and manages office operations.
Coordinates with intra-agency personnel, judiciary, and others as necessary.
Attends staff meetings and others as required.
Performs related work as required.
Qualifications:
Bachelor's degree from an accredited four-year college or university.
One (1) year of work experience in business administration, office skills, or a related field.
Knowledge, Skills and Abilities (KSAs):
Thorough knowledge of business English, spelling, and punctuation.
Ability to communicate articulately, orally and in writing, and provide presentations when necessary.
Thorough knowledge of case management and legal secretarial practices and procedures.
Ability to work independently, collaborate, and work as a team member.
Ability to establish and maintain effective working relationships with attorneys, other employees, judges and the general public.
Proficient in Word, Excel, and data entry, retrieval, evaluation and reporting.
Working Conditions:
Moderate noise; business office setting.
Physical Demands:
Work involves a significant amount of standing, walking, sitting, talking, listening, balancing, stooping, and reaching with hands and arms; must be able to transfer up to 10 pounds.
