Reports to:Director of Family Services
Rate of pay:$18.00 per hour to $20.00 per hour
Work schedule:Monday - Friday, week day hours. No evenings, no weekends, no major holidays.
POSITION SUMMARY:
This position shall support the Family Services’ programs by coordinating and performing the administrative activities of the day-to-day operations. This position will apply professional administrative knowledge and skills to assist in ensuring efficient operations within the programs and shall be responsible for the administrative and clerical duties of the programs, including but not limited to preparing outgoing communications/correspondence, answering and managing incoming calls and communications, and coordinating schedules and meetings.
PRIMARY RESPONSIBILITIES:
Draft, transcribe and edit correspondence, communications, and program documents. Proofread for spelling, grammar, and layout and make appropriate changes. Responsible for accuracy and clarity of final copy.
Monitor, screen, respond to, and distribute incoming communications including calls and emails for Family Services.
Assist with the Waiver Respite program's day-to-day administrative duties, including maintaining and filing records; assisting with new hire paperwork; collecting timesheets; and reviewing units billed.
Prepare Respite payroll and Respite billing to submit biweekly to the Human Resources Department and the Finance Department respectively.
Track and send out various documents as needed for the Waiver Respite program, including but not limited to evaluations, Codes of Conduct, timesheets, and newsletters.
Receive, sort, and deliver mail for programs.
Coordinate calendar/schedule and meetings for Director of Family Services.
Coordinate supply orders and arrangements for repairs to office equipment as needed.
Collect vouchers/receipts for Family Services from the drop box, interoffice mail, and fax machine and forward to supervisor.
Track and update documents for Family Support Services and the Housing Subsidy as needed.
Assist Director of Family Services with the day-to-day administrative duties of Assistive Technology/E-Mod projects including but not limited to proposals, bids, records maintenance, and communicating with contractors. Prepare and mail out requests for bids and contracts for Assistive Technology.
Coordinate Family Support Services RVS committee meetings. Record and prepare minutes at each meeting.
Perform other clerical duties as requested by the Director of Family Services.
Requirements
Associate Degree in an office or business field required.
Three (3) years of previous office experience preferred.
Excellent verbal and written communication skills.
Excellent proofreading and editing skills.
Strong time-management skills and multitasking ability.
Must be able to interact and communicate with individuals at all levels of the organization.
Aptitude for learning new software and systems.
Must be proficient in Microsoft Office, including Outlook, Word, and Excel.
Ability to lift and carry up to 25 lbs.
Excellent hand-eye coordination
Ability to sit for long periods
Ability to tolerate extensive exposure to computer monitor/screen
Ability to tolerate extensive use of computer keyboard
