About Administrative Assistant

Description We are looking for an Administrative Assistant to join our team in Columbia, Maryland. In this role, you will be tasked with maintaining project-related files, assisting with document formatting, and providing backup to the receptionist when necessary. This role offers a contract to hire employment opportunity in a dynamic industry.

Responsibilities:

• Maintain and organize project-related files including contract documents, budgets, and change orders.

• Perform general administrative duties such as filing, copying, and scanning documents.

• Assist with the formatting of Word, Excel, and PowerPoint documents as required.

• Provide phone backup support to the receptionist/administrative assistant when necessary.

• Utilize Microsoft Office to perform tasks and maintain records. This includes a strong knowledge of Microsoft Excel, Word, and Outlook.

• Provide exceptional customer service through answering inbound calls, handling email correspondence, and managing inbound and outbound calls.

• Demonstrate excellent written and verbal communication skills in all interactions.

• Show initiative by starting tasks and following up as needed.

• Use data entry skills to maintain accurate customer credit records and process customer credit applications.

• Schedule appointments and manage customer inquiries with attention to detail and organization. Requirements • Minimum of 2 years experience in a similar role as an Administrative Assistant.

• Proficiency in Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint.

• Ability to handle both inbound and outbound calls professionally.

• Excellent customer service skills to handle client inquiries and maintain good client relationships.

• Experience in data entry with a strong attention to detail.

• Ability to manage email correspondence efficiently and professionally.

• Experience in scheduling appointments and managing calendars.

• Ability to multitask and prioritize tasks in a fast-paced environment.

• Strong verbal and written communication skills.

• High level of discretion and confidentiality in handling sensitive information.
