About Administrative Assistant

Description We are searching for a meticulous and dedicated Administrative Assistant to join our team in Irving, Texas. The role primarily involves providing comprehensive administrative support to the CEOs, assisting in project development, event planning, and donor relations. This position offers a contract to permanent employment opportunity and plays a crucial role in our organization's operational efficiency.

Responsibilities:

• Assist in the maintenance and cultivation of donor relations through various communication means such as emails, phone calls, and scheduling meetings.

• Provide frontline and administrative support for the timely completion of projects.

• Utilize working knowledge of databases like Blackbaud or CRM equivalent to support project requests.

• Actively participate in the planning and coordination of fundraising events and outreach activities.

• Provide administrative support such as answering and forwarding incoming telephone calls, correspondence, record file keeping, and research.

• Work closely with the CEOs to keep them informed of upcoming commitments and responsibilities.

• Complete a variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization.

• Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO.

• Provide sophisticated calendar management for CEO, prioritizing inquiries and requests while troubleshooting conflicts.

• Ensure a welcoming environment in the office by providing hospitality to all guests.

• Proficient in administrative tasks such as data entry, managing office supplies, and back office support

• Experience with multi-line switchboards, handling between 10 to 30 lines

• Ability to accurately take and distribute meeting notes

• Proficient in Microsoft Office Suite, including Microsoft Excel

• Strong administrative office skills

• Demonstrated experience in providing administrative assistance

• Excellent organizational and multitasking abilities

• Strong verbal and written communication skills

• Ability to work independently and as part of a team

• High attention to detail and problem-solving skills

• Proven ability to manage and maintain schedules and calendars

• Ability to handle sensitive and confidential information with discretion.
