  The Massachusetts Department of Agricultural Resources' (MDAR) mission is to help keep the Massachusetts’ food supply safe and secure, and to work to keep Massachusetts agriculture economically and environmentally sound. The Massachusetts State Reclamation and Mosquito Control Board (SRB), within the Department of Agricultural Resources, oversees mosquito control in the Commonwealth of Massachusetts including 12 regional programs. SRB establishes administrative and technical policies, guidelines, and best management practices to ensure mosquito control programs are safe and effective. The Administrative Assistant is responsible to the Director and performs a wide range of administrative and office support activities to facilitate the efficient operation of the organization. GENERAL STATEMENT OF DUTIES: 1. Work Record Analysis: a) To receive weekly work sheets from all personnel responsible. b) To compile, by towns, work performed (designated) together with type and amount of pesticide used. c) To keep a concurrent and continuous Financial Survey of all Project expenditures as well as actual work activities on an overall fiscal-year basis. d) To compile and submit to each town an accounting of Project activities yearly, or as requested. 2. Payroll and Related Records: a) To compute payroll and submit weekly reports. b) To keep sick leave and vacation records. c) To keep retirement and insurance records, sending any required reports to agencies concerned. d) To keep payroll records and compilations of relative figures. 3. Standard Billing and Bookkeeping Procedures: a) To certify all deliveries and individual invoices. Compute and extend all figures for accuracy and amount, etc. Type invoices on proper State forms. Designate proper Subsidiary Account and Expenditure Code Numbers, Vendor Code Numbers, have properly signed, and submit for payment. b) Post and debit all Subsidiary Accounts and keep a balance available figure for each account on a budget control basis, as submitted invoices are paid, in accordance with date. c) To keep and maintain a proper and efficient filing system. To include: Payroll Records, Requisitions and Purchase Orders, Commissioners Meetings, Industrial and Auto Accidents, Group Insurance and Retirement, complete Town Files, Bids, Correspondence files, Monthly Work Sheets, Gasoline Records, Repairs to Project Equipment. All non-current records to be kept in an available and concise manner for ready reference. * * 4. * Secretarial and Clerical:* a) To type all letters and correspondence, submitted or originated, having to do with Project affairs. b) To determine, order and procure office and miscellaneous Project supplies and keep same stored and replenished. c) To devise and design any forms or other methods necessary to quickly and accurately elicit and compile required information. d) To receive the mail and establish disposition. e) To answer phone calls and other requests for Project services. Keep a record of each call and supply to the pertinent field personnel a copy of the call information. Post the disposition of the call on the original card when completed. In general, maintain a courteous, responsive, business-like attitude in all dealings with the public. f) To maintain good relationships and cooperation with the State Reclamation and Mosquito Control Board and other Projects. g) To keep the office and surrounding area neat, clean and operational. h) To keep miscellaneous records and accounts. MINIMUM QUALIFICATIONS:* * * _EDUCATION_: Must possess a High School Diploma or equivalent and computer experience. _EXPERIENCE:_ Must possess current computer skills and knowledge of relevant software and experience with the operation of standard office equipment.
