Description
Under the direction of the Workforce Division's Director of Adult Basic Education the Administrative Assistant is primarily responsible for providing overall office and administrative support to the Educational Services Division of the Workforce Division maintaining a system of office procedures designed to promote efficient operation of the Burlington County Consortium and assist with State required data entry, marketing, registration of scheduling, class logistics, reporting and event staffing.
This position is grant funded through 6/30/2024. Position is contingent on continuation of grant funding.
Specific Duties and Responsibilities
Scheduling and coordinating meetings, interviews, events and other similar activities
Managing inventory of assets and supplies, sourcing for suppliers (vendors) and submitting invoices
Coordinating between departments and operating units in resolving day-to-day administrative and operational problems
Serve as the main resource for the consortium partners to fulfill the Title II grant requirements.
Assist the Director with all paperwork in support of the Title II Grant
Coordinate the work activities of student workers
Assist the ABE counselor and students with the process of enrolling in post-secondary education and/or job training when necessary
Provide timely and courteous customer service for both internal and external customers
Maintain appropriate files in support of the department's programs
Assist with developing and distributing marketing materials
Maintain a variety of division records and create and distribute routine and special communications as required
Attend community events as a representative of the college
Perform other related duties as assigned

Minimum Qualifications
Education Required:
High School Diploma or equivalent required. Associates Degree Preferred
Experience Required:
Minimum two (2) years of professional experience providing administrative support to ensure operation of an office, department or program.
Skills/Abilities /Knowledge /Other Requirements:
Exceptional interpersonal, organizational and communication skills
Technologically proficient in Microsoft Windows, Microsoft Office Suite (specifically: Word; Excel; and PowerPoint) and other database management software
Highly motivated, results-driven, innovative, and open to new ideas and/or projects
Self-starter who can work independently, as well as part of a team, with minimal supervision
Ability to prioritize projects and tasks
Ability to work a flexible work schedule including evenings and weekends
Possess a valid driver's license
Additional Information
INSTITUTIONAL EFFECTIVENESS:
Collaborates with department members and/or the Compliance, Assessment and Research team to support planning, assessment, data collection and reporting for continuous improvement of the college.
