WORK OBJECTIVE: This position provides highly independent administrative work to employees at all levels regarding human resources matters. The employee performs technical and clerical duties involving the interpretation and application of policies and procedures. Duties may involve specialized work in one or more of the primary functional areas of human resources and include the maintenance of accurate personnel records systems. Work is performed with considerable independent judgment and initiative under the supervision of the V.P of Human Resources and Talent Management and is reviewed through conference, reports and observation of results achieved.
ESSENTIAL FUNCTIONS: The list of essential functions, as outlined herein, is intended to be representative of the tasks performed within this classification. The omission of an essential function does not preclude management from assigning duties not listed herein if such duties are a logical assignment to the position. • Coordinates and performs a range of staff support activities for the department; serves as liaison with other departments in the resolution of routine administrative and operational issues. • Provides administrative support for the department, such as answering telephones, assisting visitors, and resolving administrative problems and inquiries. • Responds to inquiries regarding departmental functions; provides resolution or directs persons to appropriate resources. • Provides service and support to employees at all levels of human resources related matters. • Schedules medical physical exams and follow-up appointments for employees and applicants as required. • Provides assistance to the medical department and medical related tasks. • Coordinates the completion and processing of new hire employee paperwork. • Facilitates pre-employment testing as needed. • Responds to routine general inquiries from other agencies, employees, applicants, and the general public, e.g., verification of employment, benefits, policies, procedures, and services. • Prepares correspondence, updates records and maintains files of a highly confidential nature. • Composes routine letters and notices. • Compiles monthly statistics. • Processes employment applications and assists in applicant tracking. • Provides support in the photo employee I.D. badging system and the production of badges. • Maintains log of open positions. • Perform additional duties and tasks as assigned.
KNOWLEDGE, SKILLS and ABILITIES: Knowledge of standard principles, practices, methods, and techniques of human resources administration. Ability to express oneself clearly both orally and in writing. Ability to rapidly acquire knowledge of administrative and procedural regulations and work independently on complex and confidential administrative tasks. Ability to search for, compile data, and prepare reports from files and other sources applicable to the topic of concern. Ability to maintain and retrieve complex office files. Knowledgeable and proficient in the use of Microsoft Office software products including Excel, Word, and PowerPoint. Ability to interpret and apply policies and procedures correctly. Ability to establish and maintain effective working relationships with employees and the public, and to deal with employee relations’ problems effectively and courteously. Ability to work under pressure and with time sensitive deadlines. Knowledge of Lawson a plus.
PHYSICAL REQUIREMENTS: Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds).
ENVIRONMENTAL REQUIREMENTS: Work is performed in usual office conditions with rare exposure to disagreeable environmental factors.
MINIMUM QUALIFICATIONS: An Associate’s degree with 3 years of experience performing skilled administrative and varied office support work particularly in the area of Human Resources. Strong customers service skills a plus.
