About Accounts Payable Clerk

  The Springfield Housing Authority, consistent with its equal opportunity and affirmative action policies, invites applicants for the position of Accounts Payable Clerk. This is a full-time position with benefits. Rate: $19.65 per hour, M – F 8:00 am – 4:30 pm, 40 hours/ week.

  Position Summary:  Perform a variety of accounting procedures including: reviewing invoices and purchase orders; posting payments into system; preparing A/P vouchers for payments; batching and reconciling totals; preparing payment checks; and other similar duties to maintain accounts payables. Work from established procedures, practices and schedules; standard forms, written and verbal instructions. Duties require attention to details data and documentation: use of various office equipment and software.

  Essential Functions: review incoming invoices for previous and/or upcoming payments. Check and verify purchase orders against invoices. Reconcile discrepancies by contacting purchasing or department manager. Prepare accounts payable vouchers for payments to contractors and other vendors authorized and approved internally but not requiring a purchase order. Enter all claims for payment into A/P claims entered for scheduled payment. Generate batches for voided claims, voided checks, inventory control and purchase orders. Monitor voided claims and checks batches to ensure reconciliation. Prepare and print checks for scheduled payment along with final disbursement report. Generate and prepare report for A/P reimbursement. Maintain current balance on existing contracts. Perform other similar duties as assigned or directed by supervisor.

  Qualifications : Knowledge of administrative practices, accounting, and payable procedures; operation of office equipment such as, computer and in-house and commercial information systems software, requiring some advance skills knowledge. Equivalent to high school plus additional specialized training. Over 1 year up to and including 3 years of progressive learning experience. Excellent communication skills. Attention to details and ability to multitask. Usual office conditions.
