This position is responsible for executing specific support activities within the Division of Academic Affairs and reports to the Director of Academic Affairs Finance and Resources Management. The Division of Academic Affairs supports both faculty work and student learning and progress by overseeing offices key to faculty and student success: including the different schools, the Library and the Registrar's Office; the Faculty Center, which supports faculty scholarship and pedagogy; the Grants Development Office, which supports faculty grants pursuit and administers funding for student research and creative projects; and the Student Learning Center, including Accessibility Resources. Duties include but are not limited to:Administer and organize information within designated and/or developed spreadsheets, oversee relevant analysis and reporting as needed, monitor and maintain control over accounts/budgets, and process compensation forms (APPs) as needed for the following areas:Processing of faculty compensation for thesis and teaching supervision (currently being modeled).Oversight of all compensation related aspects associated with faculty search processes, working in partnership with the division's administrative personnel.Coordination of the Student Step Grant processes, by overseeing the webpage, updating application cycles, modeling grant allocations, handling data entry, and streamlining approval and related procedures in collaboration with the Deans and School Administrative Assistants.Processing internship supervision compensations, based on established guidelines.Providing support for modeling and processing Individual Course Enrollment and Independent Studies (ICE and IS) compensations.Assisting the School of Graduate Studies with GATA financial related processes.Support the instructional temp service staffing process by collaborating with campus stakeholders to complete hiring forms and complete year-round data entry, analysis, control, and process changes.Facilitate the onboarding process for newly hired faculty members with relevant campus stakeholders, particularly addressing computer and related requirements, including internal budget/accounts monitoring and control.Collaborate with various departments and stakeholders to assist with the timely processing of procurement documents, as needed.Perform activities in the division, in support of the coordinator of other internal grant management process for the following:New Faculty Start-up GrantsFaculty Development grant follow-up activitiesNew Initiatives/Public Events liaison with CommitteeServe on campus committees, as needed, notably the D'Antonio and STEP Grants CommitteeSalary: $53,151 - Information on SUNY's comprehensive benefits offerings can be found at https://www.suny.edu/benefits. Requirements:Minimum Qualifications: Bachelor's degree 1-2 years of professional experience Computer skills, including strong MS Office skills (Word, Excel) Adobe Acrobat, including preparation of presentations. Additional: Strong planning, analytical, administrative, and organizational skills. Demonstrated experience gathering, analyzing, and interpreting data and reports. Ability to create and use pivot tables and database queries. Ability to work independently to meet deadlines while successfully managing multiple tasks and priorities. Ability to exercise considerable judgment and discretion in handling sensitive information. Strong interpersonal skills and ability to collaborate and problem-solve with different organizational stakeholders. Experience serving the needs of a diverse community. Preferred: Bachelor's degree in business, finance, or accounting, or graduate degree in any field More than 2 years of financial, budgeting or business experience Prior experience in a higher education setting. Advanced Microsoft Excel skills and ability to perform high-level data analysis. Skills in data analysis and the preparation and presentation of written reports to help inform decisions. Experience working with Ellucian Banner, ARGOS, and SUNY BI.
