TITLE:
Senior Director, Sponsored Programs
REPORTING RELATIONSHIP:
CFO/SVP, Finance
BASIC FUNCTION:
Oversee and direct all financial and administrative activities related to American Academy of Pediatrics (AAP) sponsored programs, including the reporting, writing, and compliance management, and the administration of all-related vendor, collaborative, and partnership contracts and agreements.
DUTIES AND RESPONSIBILITIES:
Support CFO, senior leadership, directors, and other staff in sponsored program record keeping, budgeting, forecasting, and analysis.
Oversee the financial and reporting management of all sponsored programs; review and sign off on applications/proposals, budgets, budget narratives, and sponsor financial reports.
Ensure compliance with AAP policies, financial procedures, GAAP, federal administrative requirements, program regulations, reporting requirements, and sp0nsor restrictions.
Continuously enhance and improve the systems used to manage sponsored program information and documentation, develop customization of reporting per customer specifications; and use advancing technology to improve end-user experience.
Collaborate closely with the Senior Director, Finance and Accounting on budgeting, financial reporting, optimizing financial software, and internal processing procedures to ensure consistent interpretation and implementation within the Finance department and communication to program staff.
Lead the AAP annual budget process for sponsored programs. Create guidance and budgeting tools, train staff, set expectations, collaborate with Human Resources (HR) on FTE allocation compliance, and follow up with appropriate staff to create a viable sponsored programs budget.
Collaborate with sponsored program administrators and program staff to efficiently develop sponsored programs proposals and monitor activity. Recommend and ensure timely implementation of corrective action measures if sponsored program expenditures are not in-line with budget and requirements.
Maintain user access and approval authority for agency electronic systems. Approve and manage security for sponsored program access within AAP financial systems and SharePoint sites.
Collaborate with HR to provide or coordinate training for AAP staff on sponsored program management and compliance requirements.
Ensure sponsored programs’ internal and funder systems are well documented.
Prepare reports for AAP leadership and Board of Directors.
Ensure accuracy between GL and sponsored programs systems, and consistency and uniformity in the management and reporting of all sponsored programs and information pertaining to those programs.
Oversee subrecipient’ financial reporting, compliance, and documentation. Assess level of risk, determine appropriate monitoring activities, and conduct site visit reviews as required under OMB auditing.
Research technical issues and stay current with changes in federal regulations, specific agency/sponsor requirements and procedures for administration of awards, and communicate to and provide guidance on this information to staff.
Oversee completion of indirect cost proposal and negotiate the indirect cost rate. Evaluate risks and recommend necessary changes to optimize direct and indirect cost reimbursement.
Direct planning and completion of the Single Audit and grant data collection tax return.
Supervise and mentor assigned staff. Encourage a work environment that promotes inclusion and belonging of all staff. Support ongoing staff development, help set objectives, and evaluate performance, and promote and enhance staff capacity in skills necessary to achieve goals. Ensure staff operate in a fiscally prudent manner, maintain confidentiality, operate with the highest ethical standards, and provide excellent service to members and volunteers.
Ensure a high degree of customer focus and satisfaction, and maintain a collaborative, positive team spirit that encourages cooperation and communication between key service units and staff.
Perform all other duties as assigned.
EDUCATION:
Bachelor’s degree in accounting, finance, or business required; CPA, MBA, or MPA preferred.
EXPERIENCE:
At least seven years’ related experience managing sponsored program activities required, including preparing and reviewing proposals, budgets, and progress reports; managing contracts; applying sponsored programs accounting principles; and managing the Single Audit. Experience with federal funding, grant/contract administration, and compliance systems. Experience supervising staff required.

Must be able to manage multiple priorities simultaneously with competing deadlines, handle a large volume of work, take initiative, collaborate with various internal and external constituents, and promote and maintain a positive and cooperative team-oriented work environment, with a commitment to equity, diversity, and inclusion. Strong technical acumen essential with proficiency in MS Office, databases, and sponsored program or project management accounting software and the ability to learn and apply new technologies; experience with Acumatica, virtual meeting platforms (eg, WebEx, Teams), and document collaboration platforms (e.g., SharePoint) preferred Some travel and evening/weekend work required, as well as the ability to be flexible with work schedule to accommodate time sensitive deliverables.
Hybrid work environment of 40% of work time in the office per month.
