Job Description:
The primary purpose of this role is to support Mobility Real Estate through effective Property Management of leases including lease abstraction and cross functional collaboration to ensure accurate data set-up and timely postings of payment schedules.
Has to maintain and play an active role in supporting a variety processes and knowledge areas, including knowledge on Real Estate Leases, Data Quality discipline, strong financial understanding to ensure successful end to end system set up and management and payments/billing of leases using existing systems and processes.
Will be responsible to drive discussion with stakeholders both internal to Shell and external stakeholders to ensure supporting documents and other data requirements are secured.
Main Accountabilities:
Will work together with other Portfolio Administrators.
Goal is to enable payment on time and collection on time for leases.
To use TRIRIGA as the main system for data management, GSAP for financial management and Power Plan for IFRS16 reporting.
Stakeholders in multiple locations across the company may warrant flexible reporting schedule between day, early mid and mid-shift.
Management of Lease Administration Data – Secure contract and other supporting document after deals are completed. Read and abstract contract and ensure critical data are captured correctly. Work with appropriate teams to clear ambiguity and request set-up of cost center, property, vendor or customer. Complete set-up of land, building, space and contract in Tririga with uploaded copy of contracts, or business demand letters and other relevant instructions that will supports data set-up.
Communicate with Landlord/Tenant either email or call to discuss queries and other missing informations like supporting documents, invoices, etc. Ensure renewal and option notices are exercised and communicated on time. Complete landlord/customer requested changes as needed. Maintain good relationship with landlords/tenants.
Manage timely payment of rents by posting payments on time, secure sales reports to post sales based rent (SBR) payment/billing, validate accuracy of SBR payments calculated by the system. Perform reconciliation of payments initiated against payments paid to landlord or received from customers.
Meet Operational KPI targets for Payment on time, collection on-time, data semantics validation, first-time right, data quality standard and internal/external audit requirements.
Ensure compliance to IFRS16 requirements for relevant contracts by ensuring complete and timely data set-up and approvals. Work with IFRS Specialists and R&A to ensure zero variances and issues resolution.
Trouble shoot issues with Global Billing team, AP, AR or business contact when payment process failed due to data input.
Understand the end-to-end process and connected teams to collaborate and co-create improvement solutions on process gaps.
Key Challenges:
Process is more complex compared to other Mobility sub-processes as it involves some basic accounting principles and critical data with financial impact.
Virtually work with most of the stakeholders who are located in different parts of the world and cross functional collaboration.
Use of different systems and tools like GSAP, VS&A, CS&A, Tririga and Powerplan.
Required Skills/Experience:
Graduate of Accounting and/or Finance required.
minimum 2 years of experience in Real Estate Lease Management
Experience in Lease abstraction and understanding of Real Estate contracts required.
Strong understanding of Real Estate principles.
Background in IFRS16 requirements.
Strong Stakeholders management and influencing skills in a virtual set up.
Proven skills in written and English communication
Good knowledge and experience in MS Office applications like MS Excel, MS Access, MS Powerpoint, etc
