The position provides significant flexibility in working hours - 30 hours per week during the academic year, with summers off (equating to 50% time). The position is fully benefitted.This position serves the GSP Director and Operations Analyst and works with university leadership, faculty, staff, and others connected with the university to ensure that research and other programs which receive extramural funding conform to the University’s mission and strategic plan. The Coordinator position provides support through assistance with the preparation of documents, reports, forms and professional correspondence; preparation and management of electronic spreadsheets and database records; assists with budget management, management of the GSP schedule of appointments, and coordination of meetings with multiple parties. The Coordinator will also help in the planning and execution of the large events hosted by the GSP.DUTIES and RESPONSIBILITIESThis position provides accurate and helpful information, services and programmatic support to the department, faculty, students, staff, external funding partners and public in a professional and friendly manner.Grant and Award Compliance Management•Independently manage records, activities and reports of ongoing grants•Attend grant training and development workshops•Develop and provide training as needed to other campus coordinators on commonly used grant-related forms and processes•Collaborate with Financial Services Grants Manager to assist faculty and staff in grant budget management•Maintain Institutional Review Board (IRB) and Institutional Biosafety Committee (IBC) records•Work with faculty and staff providing direct assistance with hiring grant personnel, financial management and records, reporting, and other duties as neededGrant Proposal Development•Manage the grant application process both internal and external•Assist in data collection related to grant proposals•Assist in grant writing and developing boilerplate materials for campus proposals•Provide a high level of customer service to all faculty/staff and students during any or all phases of proposal preparation and submission to funders.•Ensure proper university signatures are obtained for timely submission of all grant dates, times, and methodsGrants and Sponsored Programs Office Management•Monitor and update the GSP website•Maintain the GSP’s office calendar, coordinate and schedule meetings, reserve room locations and make travel arrangements.•Responsible for monitoring and ordering supplies and equipment for GSP•Create, process and record travel documents; travel authorizations and expense vouchers•Create appropriate paperwork for expense reimbursements, vendor payments, budget adjustments, budget expenditure corrections and hospitality forms in a timely manner•Reconcile and manage GSP fiscal year budget.
