Operations Coordinator - AMP - Denver, CO - PRN
Acts as assistant to Operations Director, Managing Director and Physicians.Coordinates invoices, physician licensure and basic HR functions. Maintainspersonnel files for their location and is the liaison between HR and thepractice. Disseminates Company communication to employees. Answers basicbenefit, HR and payroll questions. Assists with Operation problem resolutionand projects.
KEY PERFORMANCE RESPONSIBILITIES:Assist Executive Director of Operations with ongoing and special projectsDemonstrate telephone courtesy with clients, pathologists, and associatesComplies with all State, Federal, professional regulations as well asdepartment rules, policies, and procedural manualsAdherence to Safety RegulationsAdherence to HIPAA RegulationsAccounts PayableCodes and approves invoices for DermPath WisconsinPrepares expense reports for DermPath Wisconsin (Executive Director ofOperations, Pathologists, and other staff as needed)Maintains files of accounts payable and expense reports for DermPath WisconsinMaintains petty cash drawer and prepares monthly reconciliation for DermPathWisconsinPayrollAssists with daily timecard records and schedules in Kronos payrollSigns off timecardsRuns reports, as requested by supervisorsHuman ResourcesMaintains SOX compliant personnel filesPrepares and processes routine forms, such as Personnel Action Notices andNew Hire FormsAssists in recruiting processPrepares employee orientation packets, including benefit information and formsAssists in yearly open enrollment for benefitsAssists with annual process of Performance AppraisalsAssists with annual Compliance (HIPAA, OSHA, etc.) requirementsPurchasingOrders and receives supplies through the company systemCompletes Capex forms as directed by the Executive Director of OperationsMaintains inventory of lunchroom supplies and purchases additional supplies asneededMaintains postage in meter as neededRisk ManagementMaintains files of current and expired professional liability insurancecertificatesProvides appropriate hospitals/companies with current insurance certificatesAssists with resolution of State Patients Compensation Fund issuesProcesses appropriate forms for workers compensation incidents as they occurMaintains up-to-date binders with appropriate workers comp forms andprocedures
QUALIFICATIONSRequired Work Experience:3 years administrative/administration experience.Ability to prioritize projects to meet deadlines; attention to detail;ability to problem solve; familiarity with medical terminology.Preferred Work Experience:5 years administrative aexperiencePhysical and Mental Requirements:Requires full range of body motion including manual finger dexterity andeye-hand coordinationFrequent sitting, standing, reaching and bendingMay require lifting and carrying items up to 20 poundsKnowledge:Knowledge of computer, Excel, Microsoft and other various software programsKnowledge of medical facility guidelines and practicesPossess basic knowledge of medical terminologySkills:Skills in written and oral communicationExcellent organizational skillsAbility to operate computer, dictation, and transcription equipmentAbility to operate copier, printer, fax machine, and general office equipmentAbility to operate telephone system
EDUCATIONAssociates DegreeHigh School Diploma or Equivalent(Required)
