The Event Manager plays a critical role in supporting growth and building the company’s reputation through the creation and execution of strategic, cost-effective meetings & events that express the company’s customer focus, brand superiority and industry leadership.
We are seeking a dynamic Event Project Manager to design, plan and execute a variety of experiences to include Leadership Meetings, National Sales Meetings, Customer Hospitality Programs , Global Incentive Trips, Brand Activations , Employee Experiences, Community Projects, Press Conferences and Industry Events for internal and external audiences.

How You'll Create Possibilities
Independently design, plan and execute event logistics and production from conception to completion for programs with budgets up to $150,000 and work in conjunction with Senior Manager, Meetings & Events on programs with budgets greater than $150,000 ensuring event goals and objective are meet, on-schedule and within budget.
Develop event documents and specifications following standard operational process to include budget outline, project timeline, event resume and final event evaluation. All documents to be highly detailed, organized and delivered by scheduled timelines.
Create and manage budgets in their entirety and provide a summary of event spend and forecasted spend in addition to identifying cost savings opportunities and communicating any potential risks to the overall event budget.
Manage attendee housing & registration and collaborate with key decision makers on creating and managing all event communications and collateral.
Manage vendors, suppliers, contractors, staff; liaise with hotels, production companies, transportation vendors, décor companies, and other external partners and ensures services and materials are handled to reflect company standards and expectations.
Manage hotel & venue sourcing and selection and assist with negotiating terms & contracts with vendors/ suppliers.
Oversee and manage onsite conference center reservation system and communicate weekly schedule and event details to all internal stakeholders.
Manage and coordinate Churchill Downs suite ticket allocation and sponsorship activities.
What You'll Bring to Our Team
Bachelor’s degree
Minimum 7 years of event planning experience.
Ability to prioritize and work on multiple projects at one time in a fast-paced environment and work well under pressure.
Ability to lead an event but also comfortable to play a secondary role for optimum event success.
Prior experience in project management.
A team player with strategic thinking capabilities.
Ability to adapt to challenges and opportunities with a solution-oriented perspective.
Experience with event registration systems (Cvent), virtual event platforms and meeting apps; Ability to learn new software applications with relative ease and be up to date on current technology trends in the meetings industry.
Must be willing and able to travel up to 30% of the time.
Must have WIFI at home.
