Deductions Specialist

Major Responsibilities:
Researches the validity of credit requests and deductions by reviewing data and following policies and procedure. Works with Sales, Operations, Distribution Centers, Credit/Collections, Accounts Receivable, and Customer Service departments, as needed, to obtain additional information for determination of validity. Utilizes order entry, credit memo and accounts receivable systems in order to gather data.
For valid credit requests, issues customer credit memo via deduction management system. Follows authorization matrix and appropriate policies for any additional required approvals. For invalid requests, denies credits and provides supporting documentation to Credit/Collection Department for follow up. Maintains accurate notes in deduction management system. Communicates denial to a customer.
Coordinates and tracks customer remittance detail received from the Cash Applications group, relevant to deductions taken.
Coordinates and performs user acceptance testing, as needed, on deduction management tool and within deduction management process.
Responds to inbound customer, Customer Care, and sales calls related to deduction inquiries.
Consults with customers to research and resolve complaints.
Creates required reports and monitors progress against goals.

Performs other duties as assigned.
Skills/Knowledge Required:
Ability to run reports from report center, TOAD
Intermediate Excel (formulas, look ups, pivots), Word, and Outlook skills.
Strong organization skills and attention to detail required.
Basic understanding of debits and credits.
Ability to work independently with minimal supervision.
Basic knowledge of warehouse functions and receiving operations preferred.
Education and Experience:
High School/GED required. Associates degree preferred.
Minimum two (2) years of experience in a similar role (accounts payable/receivable) required.
Previous customer service experience preferred.
