Job Description
Your Team
The Community Manager is responsible for managing the HOA’s (both Residential and Commercial) in our Raleigh communities and oversight of Architectural Review/Control process. This includes compliance with the approved governing documents of the community as well as local and state laws and regulations. These responsibilities include direct interaction with the Operations team, Marketing teams, IT, Community residents/committees/Board members and HOA management companies and their staff (onsite and Executive). This role seeks to improve the overall operation of the HOA and identifies new opportunities for efficiency and resident satisfaction.
Your Key Deliverables
Internally oversee HOA and respective management companies to ensure best in class service that serves both residents and developer needs.
Hold leadership seat on HOA Board of Directors
Serve as primary contact with HOA management companies onsite staff and executive team.
Manage timely communication with the community as a whole through the respective management companies/consultants
Communication and coordination with the Operations and Marketing teams and coordination of team input as needed
Maintain documentation of meeting minutes and resolutions in accordance with governing documents
Maintain documentation as it pertains to website (Supplementals, maps, developer updates, etc.)
Maintain master and amended governing documents to include CC&R’s, Bylaws, DRC files, Exhibit H forms, monthly financials, etc.
Maintain HOA provided trackers – action item logs, rental trackers, amenity trackers, lifestyle programming, violations, etc.
Coordination with HOA management companies and onsite HOA staff
Strengthen relationships with contracted vendors, business partners, resident ambassadors and resident Board members for HOA on behalf of developer
Strong relationship and coordination with operations, marketing, and IT teams to accomplish goals of quality community management and internal systems/reporting.
Serve as HOA Board’s liaison to committees
Coordinate with HOA management team in regards to operational issues, HOA communication, Collection efforts, Compliance issues, adherence to policies and procedures, monthly financials, budgets, contracts, and property transition from developer to HOA.
Oversee/Support compliance of CC&R’s, Bylaws and Design Guidelines
Oversee/Support monthly financial reporting and reconciliation
Oversee/Support and monitor collection efforts in adherence with Collections Policies
Oversee/Support Lifestyle Programming to ensure events are keeping with Brookfield brand and supporting resident satisfaction and Developer sales efforts
Provide support for overall site maintenance and coordination with vendors as needed
Provide input and support annual association budget creation and approval
Coordinate common area turnover and transition of service areas for perpetual maintenance
Oversee/Support the efficient operation of the Design Review Committee
Assist with Commercial tenant matters as they relate to the Commercial Association and coordination with commercial leasing teams
Audit and approve estoppel requests
Audit and approve HOA vendor contracts and renewals, including insurance and audits.
Review and recommend updates to reserve studies, funding, etc.
Ensure policies and procedures are current and up-to-date with operational practice. Advise of opportunities for improvement.
Maintenance of all association records in accordance with the governing documents
Support Operations and Marketing with amenity and event programming and logistics
Coordinate signature on documents (estoppels, tax returns, vendor contracts, etc.) as necessary
Review and approve all HOA invoices over $1500
Assist with special ad-hoc projects as needed
HOA on-boarding and set up for new communities to include amenity planning and start up
Must Haves
Knowledge and skills
Bachelor’s degree or equivalent on the job experience
Extensive knowledge of federal and state laws governing HOA operations
Strong leadership skills
Highly effective communication and interpersonal skills
Ability to organize and multi-task efficiently
Demonstrated ability to use standard software applications (Windows, MS Suite, CRM, online database applications, internet).
Ability to work independently
Positive attitude and desire to work in team environment
Physical demands
Able to work both indoors and outdoors
Workdays not limited to 8 hours
Able to respond to afterhours meetings
Some local travel required
Position will support multiple projects and require the ability to conduct work in an office environment as well as onsite at projects.
