Description
We are seeking an Administrative Assistant to join our team in Los Angeles, California. This role will be based on-site, supporting the efficient operation of our office. The position involves a variety of administrative tasks and requires regular interaction with both staff and visitors.
Responsibilities:
Professionally greet and direct guests to their designated areas.
Answer and redirect calls on the main line.
Maintain a tidy and welcoming reception area.
Ensure common areas such as the lobby, kitchen, and conference rooms are organized and well-stocked throughout the day.
Manage incoming and outgoing mail; scan and distribute mail to appropriate team members.
Assist in scheduling and preparing conference rooms for meetings.
Handle sensitive and confidential documents and information with discretion.
Maintain inventory of office and kitchen supplies.
Coordinate complex travel arrangements and meeting schedules.
Process expense reports promptly and reconcile credit card statements.
Provide backup support for other administrative tasks as needed.
Skills:
Experience in receptionist duties and general administrative tasks.
Proficiency in Microsoft Office applications and basic office procedures.
Requirements • Must have prior experience in performing Receptionist Duties
• Demonstrated proficiency in Administrative Office tasks
• Possess Basic Office Skills including filing, scheduling, and answering phones
• Strong verbal and written communication skills
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
• Ability to multitask and manage time effectively
• Detail-oriented with excellent organizational skills
• Ability to work independently and as part of a team
• High school diploma or equivalent required
• Prior experience in a similar role is preferred but not required
• Willingness to learn and adapt in a fast-paced environment
• Excellent customer service skills
• Must have a professional demeanor and appearance
• Ability to handle sensitive information with discretion
• Good problem-solving and decision-making skills
