  The Role

  Performs normal office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Gathers, compiles and reports on information relevant to supervisors assignment. May take and transcribe dictation.

  The Administrative Assistant 3 for the Engineering Director of the SSN(X) Program is required to be a highly-skilled professional who provides overarching support to the Director, their Staff, and the Administrative Team. The responsibilities include ensuring smooth operations and effective communication both inside and outside of the organization, managing & maintaining schedules, establishing key meetings, including scheduling travel and conferences, and making appointments. This position includes receipt, handling and distribution of all incoming correspondence. Reading and analyzing email submissions, letters, agendas, memos and determining their significance, level of involvement, and routing to appropriate personnel in a timely and efficient manner. Greeting visitors and determining their access to appropriate parties, supporting associated luncheons, overseeing administrative policies within the office & organization; recommending changes as appropriate. Collect and analyze information, prepare letters, reports and presentations. Maintain inventory & office supplies, anticipate office needs, evaluate new office products, placing and often expediting orders as necessary. Ensuring proper operation of office equipment, contacting maintenance when necessary. Proficient in Access, MS Word, Excel, and Outlook. Coordinate overhead finances, promotion budget, and award budget. Arrange for setup on new computers and logging of new employees. Provide training, clerical support, and general office support to other departments within the SSN(X) Program. Delegate tasks and responsibilities to appropriate staff members when appropriate. Prepare and maintain a records management system; recommend changes when appropriate.
