The Idaho State Department of Agriculture is currently recruiting for an Administrative Assistant 2 in the in the Animal Industries Division.

Example of Duties
Division Support
· Provide administrative support to the dairy bureau management staff which entails typing correspondence, assembling reports, compiling information for speeches and conferences, making travel arrangements, scheduling calendars for management staff, and any other tasks assigned
· Assure Bureau’s compliance with timelines
· Review operational efficiency and recommend and implement improvements
· Coordinate cross-divisional administrative activities
Employee Supervision
· Manage and provide oversight & guidance for all TRS1 activities
· Hire, train & supervise clerical support staff
Dairy Database
· Verify accuracy of data entry of all inspections, test results and reports
· Verify and distribute quarterly roll-out of dairy PMO reclassifications
· Oversee the transition to the new dairy database
· Serve as a liaison between programmers and field staff
Licensing
· Oversee applications and renewals of all dairy licenses received and processed by TRS1
Fiscal
· Maintain equipment inventory and order equipment & trucks for dairy bureau
· Receive, verify and process payments
· Maintain budget documents and capital outlay for division
· Review and maintain WEX
· Process and verify all travel express vouchers & payments
USDA & FDA functions
· Process USDA certificates and billing (butter grading/environmental sampling/plant inspections)
· Process and maintain BTU plant and BTU farm documents
· Review and forward dairy plant test results
· Maintain and review bulk hauler licensing records
Public Records
· Process and compile all dairy related public records requests
Minimum Qualifications
These qualifications are mandatory requirements.
Good knowledge of:
· O ffice support functions including word processing, filing, composing a variety of business documents and reception;
· R esearching, compiling, and summarizing data for reports.
Experience:
· interpreting, applying and explaining complex information such as regulations, policies or services;
· independently solving problems/performing liaison activities in a work setting;
· coordinating activities requiring complex arrangements.
Specialty Areas: These qualifications are mandatory requirements for this recruitment.
· Experience using Microsoft Word, Outlook and Excel.
Supplemental Information
Desirable Area: This qualification is not required; however, if you have the related background, it may increase your score.
· Some knowledge of supervisory practices
· Experience with computerized records systems.
Temporary appointments from this announcement, serving at least one thousand forty (1,040) hours of continuous service, may be hired as an entrance probationary employee without further examination for the same classification and location as announced.
