Although youth programs are developed for all children, there is a special focus on youth services for neurodiverse children. The Youth Programs Coordinator leads all youth programs in the Institute for Neurodiversity except for Applied Behavioral Analysis programming. This position supports the mission of the Montana Center to serve the diverse population of Montana by providing high-quality services to children and youth. This person will work collaboratively to support these programs while also taking initiative and working independently to develop plans for participant programs, arrange the hiring of temporary staff, process paperwork, and payments, handle basic customer service activities, and promote the youth programs. The Program Coordinator II will manage confidential and sensitive information, plan, schedule, prioritize meeting deadlines, and provide budget support and oversight for the youth programs. The Program Coordinator II will maintain and streamline procedures to support these programs. The successful applicant is expected to support and participate in the University’s commitment to continuous quality improvement and to present a positive image of MSUB. DUTIES and RESPONSIBILITIES:Performs the Youth Program Development and Management duties of the Montana Center for Inclusive Education and the College of Education. •Review all Youth Program forms and make revisions as needed. •Develop new youth programming based on 5-year plan. •Ensure all needs of the youth programs are met effectively, efficiently, and accurately with satisfying results, gather information, conduct research, and compile data for reporting and decision-making needs. •Participate in strategic decision-making and in the administration of operating policies and procedures impacting effective youth programming in the Montana Center and the College of Education. •Plan, organize, and coordinate youth projects according to the 5-year plan. •Develop and maintain accurate and comprehensive records. •Monitor and ensure all deadlines are met in a timely manner. •Assist in keeping youth programs website current and inviting. •Work with accounting associate to see that part-time staff complete electronic payroll submission accurately and on time. •Track instructor work assignments, curriculum for youth programs, materials, and essential training of instructors. •Provide high quality customer service to K-12 partners, families, participating youth, community partners, and funding organizations. •Interact and communicate effectively with administrative offices, instructors, and the community. •Coordinate and schedule meetings, reserve room locations and make travel arrangements for youth programs activities. •Coordinate, schedule, and develop agendas for meetings/training for Youth Programs Staff. •Attending professional development as necessary to perform job well. •Work with Office Manager to purchase materials. •Working with the marketing office to develop and distribute promotional materials to the community and region. •Maintain and update safety procedures as needed to ensure a safe environment for children and youth. Manage the budget of Youth Programs •Reconcile and manage indexes for Youth Programs and the fiscal year budget in conjunction with the accounting associate. •Follow-up and take appropriate action on billing and expenditures in conjunction with the accounting associate. •Assist in projecting future revenue and spending. •Work with office manager and accounting associate to ensure appropriate paperwork for expense reimbursements, vendor payments, sponsorships, budget adjustments, budget expenditure corrections, and hospitality forms are completed in a correct and timely manner. •Utilize Chrome River to process travel and other expenditures effectively. •Budget short-term and part-time positions with established budget projections. Recruitment and New Hires •Advertise and recruit Youth Program Instructors in compliance with Human Resources requirements. •Establish and grow a contact list of willing and effective Instructors of Youth Programs. •Initiate, review, and submit recruitment documents. Work with human resources, the accounting associate, and the office manager to complete paperwork regarding the hiring of part-time instructors. •Work with the office manager and accounting associate to create short-term and part-time positions, contracts, and EPAF’s. •Organize and schedule interviews and webcam interviews for instructors and support staff in conjunction with Human Resources policies. •Work with office manager and accounting associate to ensure new hires complete reimbursements and required HR paperwork. •Organize and ensure all new instructors’ needs are met; support information, class lists, and computer access, as necessary. Instructor, Staff, and Participants•Work with Instructors of Youth Programs to develop youth programming ideas. •Establish instructor evaluation timeline. •Administer participant and parent surveys for each camp and share results with instructors. •Create and email participant and family follow-up communication. •Maintain participant records in a secure and confidential manner. •Establish effective communication with participants and/or families. •Hiring students, Graduate Assistants, and interns for program facilitation.
