The Workplace Coordinator will be responsible for providing an exceptional experience to all staff and visitors, as well as supporting the daily operations and maintenance of the company’s workplace in the Berlin office.

  The successful candidate will be proactive and creative and will be encouraged to express new ideas on improving the overall experience in the workplace, ensuring we are using resources to the optimum. This role reports directly to the Workplace Manager.

  Responsibilities Include:

  Supporting the day to day running of the building and workplace services, including maintaining a high standard of workplace excellence throughout the day, and ensuring operational matters are resolved in an efficient and timely manner by monitoring and completing employee requests via helpdesk ticketing system

  Ensure an exceptional experience for all stakeholders, all employees, new hires, guests and interview candidates

  Promote a high level of satisfaction among staff by promptly responding to their service requirements. Ensure the same level of service from team members and Workplace vendors

  Work collaboratively with cross-functional partners and immediate team members to support the delivery of service excellence, continuously evaluating existing processes to identify areas of improvement where possible

  Work collaboratively with vendors to ensure all necessary planned and preventative maintenance is undertaken, including HVAC, utilities, pest control, janitorial, furniture, and equipment set-ups, with the aim of minimizing downtime within the workplace. Ensuring high levels of service, maintaining solid communication and good working relationships.

  Liaison with building management for operations and maintenance

  Assist with reception duties, presenting a professional and welcoming first contact to all visitors and ensuring the reception area is presentable at all times, and receiving all post and parcels.

  Assist with planning, coordination and set up for any events within the office - working with partners, vendors and stakeholders to ensure smooth and successful execution.

  Establish strong relationships and communication within all levels of the organization to understand and meet business and operational needs

  Proactively contribute to the improvement of existing processes, evaluating workflows to identify areas of improvement where possible

  Assistance on projects involving space planning and executing changes and moves; coordinating and executing smooth transitions from start to finish

  Collaborate with Environmental Health & Safety and Corporate Security teams to maintain environmental health, safety and security compliance in the office, ensuring a safe and productive working environment at all times

  Assist with onboarding and welcoming new employees into their new workplace

  Partnering with the catering vendor to ensure a high level of the Netflix F&B Program for the day-to-day operation

  Manage office supplies, from design conception to stock control. To include but not exclusive to, stationery, toiletries, first aid supplies, swag, front of house supplies.

  Work with external vendors and EMEA Workplace team members to actively improve and promote our sustainability performance.

  Flexible schedule for off hours/emergency support

  Be a member of the Emergency Response Team, responding to any emergencies as needed to minimize any downtime within the workplace

  Requirements:

  Experience in a similar position for a minimum of 3 years is needed to be successful in this role, working for a global tech corporate is a plus

  An approachable team player, with the ability to build and maintain successful relationships with all internal and external stakeholders

  Customer service driven, with the ability to demonstrate innovation and drive

  Self motivated and proactive, hands-on, and not afraid to tackle any problem however big or small

  Demonstrable problem solving skills, with the ability to be reactive to the current needs of the workplace, often requiring on-the-spot decision making

  Strong attention to detail and excellent organization skills

  Accustomed to multitasking in a fast-paced creative environment, with the ability to anticipate team needs and respond accordingly

  Flexible attitude and willingness to sometimes work outside of the usual office hours

  Knowledge and proficiency with Gmail, Google Docs, etc would be useful.

  Good verbal and written communication skills in English and German

  Demonstrate a clear understanding of the Netflix culture
