Job Title: Vendor Managed Services (VMS) Administrator
Job Summary:
The Vendor Managed Services (VMS) Administrator will support the Account Operations Team in the planning, directing and activity coordination of all work assigned to or performed by approved vendors. The VMS Administrator will accommodate the preventive, corrective, general maintenance, and documentation performed by such vendors for the Client, including all activities required to support Vendor services.
Associate will schedule and coordinate all outside contracted services with follow up to all work orders assigned. Administrator will own all aspects of Vendor management – “cradle to grave” including ensuring all vendors are paid in a timely manner. Receive, organize, and maintain inspection reports provided by vendors as a result of their contracted efforts. Monitor all work assigned to vendors, coordinating directly with the Account Operations team as needed. The VMS Administrator will support the Account team by providing periodic assessments of vendors to ensure the best delivery of vendor-managed services to the Client.
Other duties include, but not limited to, backfilling the CMMS Administrator when needed, and other various duties as assigned by the Account and/or Operations Manager, while adhering to all safety and health standards.
Essential Duties and Responsibilities:
Creates and Receives work orders from the Account CMMS Administrator intended for approved outside vendors and ensures such work is correctly assigned, scheduled, and completed by the appropriate vendor(s) to ensure the client’s maintenance needs are met according to the SLA and aligned with the best practices of Work Order Management. Communicate and interact with the Facility Manager, Operations Manager, and the CMMS Administrator to ensure Vendors are appropriately scheduled and utilized to ensure all maintenance tasks are accomplished
Communicates on a regular basis with Vendors to get work order updates. When necessary, interact with vendors to proactively address any issues and/or modify such work or assignments as necessary to ensure timely completion of such work. Ensures all vendor presences on site are properly coordinated in accordance with customer requirements including escort, notification (Security), and job site appearance(s)
Build and maintain all vendor relationships, ensuring all vendors perform assigned work in a timely, efficient, and safe manner
Maintain the Vendor Lookup Cross Reference (VLX) within the CMMS to ensure accuracy of callouts, including those activities customarily assigned to Operations team technicians and EMCOR Field Organization (EFO) service providers. Submit VLX Change Requests in support of this accuracy
Interfaces with customer work requester (as needed) and the CMMS Administrator to clarify the scope of work requested, follows up with status as required. Working with the CMMS Administrator, maintain and update work order data to prioritize Vendor communication
Evaluates vendors and their performance (Communication, Responsiveness – NOT Quality of work). Provide recommendations to the Account Operations and Procurement teams based on these evaluations. Maintain vendor, customer, and EMCOR contact lists. Routinely publish this information as needed to appropriate parties
Coordinates and communicates with account team(s) on work order escalations and service provider invoicing issues. Ensures all vendors invoice properly (and timely) and that all invoices are submitted to – and paid by - AP
Manages Customer Satisfaction Survey process, providing timely reporting of results as needed by the Account Operations team'
Perform the duties of the Computerized Maintenance Management System (CMMS) Administrator during periods when the CMMS Administrator is not working (during PTO or other time off, for example.)
Performs any other duties as deemed necessary by the Account and Operations managers
Qualifications:
Associate’s degree (A. A.) or equivalent from two-year college or technical school; or 5 to 10 years related experience and/or training; or equivalent combination of education and experience
3 years or relevant (similar) experience
Must possess a valid driver's license
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization
Will have working knowledge of computers and software including but not limited to, Microsoft Office, Word, Excel, Power Point, and some form of a CMMS. Must be very proficient (Advanced) in Excel including Matrices, Graphs, Macros and Pivot Tables. Completion of a competency test in Excel will be required
Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables
To perform this job successfully an individual should have knowledge of General Computer usage, CMMS Data Software; MS Office Software with a strong emphasis on Excel and Power Point, Outlook. Advanced knowledge in Excel
