ABOUT THE JOB
The Family Wealth Administrative/Trust Associate is a dual role thatprovides both administrative assistance and trust administration support forthe Family Wealth team while maintaining an optimal level of client service.He/She will perform diverse administrative and clerical duties for the teamand is expected and held accountable to add value, work efficiently andconstantly strive to improve internal and external customer experience.
He/She will have the ability to prioritize and organize work while beingflexible to change with the needs of the business. Ability to quickly learnnew tools and technologies; with interest and experience in usingprofessional media and platforms. Integrity, confidentiality, superiorinterpersonal skills, proactive and detail-oriented with strongorganizational skills and some of the important competencies for the role.Ability to thrive in a fast-paced, team-oriented, deadline-drivenenvironment is necessary.
ESSENTIAL JOB FUNCTIONS
Assistant-Level SupportProvides administrative support to Family Wealth team members inclusive ofassisting in the preparation of meeting and proposal materials,Cultivates a positive environment to promote teamwork, high performance,and positivityAssists with special projects for events, new processes or projects andpresentations as they arise, exercises judgment and reasoning skills
Trust Administration SupportPerforms day-to-day functions as requested accurately and by necessarydeadlines (i.e., checklists, file creation, asset maintenance,process bills, cash receipts, etc.); interfaces with centralizedsupport areas such as Fiduciary Control Group, Trust Operations, Trust Taxand Revenue Administration to ensure completionAssist Trust Associates with assigned accounts on a daily basis for overdraftsUses cash forecasting to determine approximate amount needed for quarterly andannual tax paymentsProvides call-back verification for client requests at the direction of theassigned teamDiscovers, analyzes, and researches account problems and recommendssolutions as appropriateHelps to establish and maintain orderly record keeping system ensuringmaintenance of confidential account files and proper workflowPrepares various reports, correspondence, technical documents, andspecial projects as requestedFollows-up on client issues and relays information to the assigned TrustAssociate and/or Trust Officer through e-mail correspondence and/ortelephone communicationsResolves client requests and refers complex inquiries to the assigned teamBuilds and maintains effective working relationships with other team membersto ensure high quality and timely support of fiduciary accountsServes as a resource for the team on identified processing situations or otherprojects as needed
ComplianceMaintains compliance with all internal policies and procedures as well as withregulatory requirementsAssumes accountability for assigned projectsParticipates in professional training opportunities including seminars andself -learning opportunities
REQUIRED QUALIFICATIONS:Two years of college or equivalent work experienceDemonstrated proficiency and effectiveness in strong customer service,communications, problem solving and organizational skillsAbility to interact effectively in a team environmentDemonstrated attention to detailProficient in all Microsoft Office Applications, Internet, Google AppsExercises sound judgment, discretion and confidentiality in all mattersinvolved in this jobTakes initiative and works independently on routine as well as more complexand miscellaneous mattersConfident and resourceful in problem solving, promptly escalating matterswhere necessaryExcellent written and verbal communication skills
COMPENSATION AND BENEFITSThis position is eligible to earn a base hourly rate in the range of$26.44to $35.00 per hour depending on location and job-related factorssuch as level of experience. Compensation for this role alsoincludesshort-term incentive compensation subject to individual and companyperformance.
