About Travel and Expense Coordinator

  Target salary range:$60,000 - $70,000. The estimate displayed represents the typical salary range for this position based on experience and other factors.

  Responsibilities:

  With oversight from Supervisor, TandE and A/P, maintain and update Janus Business Travel Policy as needed.Educate users on company travel and expense policies to eliminate noncompliant behaviors.Review and audit expense reports daily for completeness ensuring compliance with company policies.Verify supporting documents are valid and support the amounts claimed on expense reports.Review travel advance requests in Costpoint in accordance with company policyUnderstand and correct allowable versus unallowable charges under the FAR/FTR/JTR regulations.Process approved expense reports at least weekly to be included in the check run.Serve as primary point of contact with our travel agent for web-based travel agent system (Concur) and reports available to aid in reconciling.Track open tickets by airline and reassign to other travelers as needed.Track available rewards earned by the organization and assist business travelers with using them.Prepare travel account reconciliations for booked travel, ERs filed, corporate credit card charges, and travel reports in order to identify missing expense reports.Monitor credit card usage for compliance that purchases are travel related only.Communicate with travelers and Management for noncompliance and proactively work directly with travelers to resolve discrepancies.Provide support to employees on the use of Janus TandE system (Deltek Costpoint)Provide monthly travel related metrics to help improve compliance and performance.Assist in the preparation and data gathering for external and internal audits.Ensure employees are properly onboarded/offboarded as it relates to travel/expense.Ensure travel/expense help tickets are resolved in a timely manner.Required:

  Requires a Bachelors degree with 5+ years experience as a Travel Coordinator, Travel Administrator, or Expense Report Administrator handling expense reports and travel reconciliations or similar.Familiarity with FAR/FTR/JTR regulations, including allowable and unallowable expenses.Prefer experience with Deltek Costpoint Expense Report module, American Express @ Work reporting and coordinating with travel agents.Proficient PC skills including MS OfficeAbility to work independently and multitask with attention to details while meeting deadlines.Problem-solver with a solution-based attitudeCollaborative and team player with a focus on customer serviceEager to provide input for process and system improvement.Proactively report issues, concerns, results, etc. to ManagerJANUS strives to provide opportunities for career growth through training and development.
