SUMMARY:
The Program Associate will provide leadership in meeting the administrative, development, communications, financial, and operational needs of the program, and report directly to the Mental Health Program Director.
This role coordinates closely and prioritizes with the administrative staff who support the three pillars of the program – public policy, journalism and media and global behavioral health in order to efficiently and effectively implement the program workplans.
The Program Associate oversees office operations and assists staff in preparing and fulfilling the administrative needs of the program.
The Program Associate, in support of the Director and the Associate Directors- serves as the liaison between Mental Health Program and support staff in key offices such as that of the CEO, VP of Health, People Operations and Programs (POP), development, communications, and finance.
This role is one that streamlines inquiries, correspondence, administrative and programmatic requests, and scheduling for the Director from across the institution to MHP and respective pillars of work, and vice versa.
It also ensures quality control of all documents and processes initiated by the program.
Sample responsibilities include reviewing, responding, and delegating incoming correspondence, collaborating with and guiding administrative staff supporting the pillars, processing documents and requests of the program and program staff, assisting with coordinating and investigating employee administrative issues/concerns and appropriate courses of action, and coordinating, writing and aligning materials and inputs for presentations, documents, and talking points for program events and senior Carter Center leadership.
FORMAL JOB DESCRIPTION:
Primary duty is organizing, coordinating, and planning operational facets of a global program and its related activities which include, but are not limited to the following: researching factors that may impact the success of the program, and working with individuals or groups to research and document program requirements in order to provide appropriate input.
Monitors and reports progress of objectives and goals of the program.
Develops promotional materials/venues, manages relational databases, and establishes/forecasts budget requirements.
Develops work plans to accomplish objectives and monitors progress toward their achievement.
Monitors expenditures and may prepare financial reports; may assist in identifying funding resources and developing fund-raising strategies and initiatives.
Prepares operational and statistical reports to assist in effective decision-making.
Conducts training, represent the program at international meetings and conferences, and networks with affiliated groups.
May write or develop reports, speeches, briefings, newsletters, promotional materials, grants or other written materials related to the program.
Conducts research and gathers accurate information to develop various publications.
May plan, administer, or monitor the program's budget or related grants.
May assist in developing and coordinating program-related conferences, conventions, or meetings. May supervise staff.
Performs related responsibilities as required. This is not an administrative support position.
MINIMUM QUALIFICATIONS:
Bachelor's degree in a field related to the program and two years of related experience or an equivalent combination of education, training and experience.PREFERRED QUALIFICATIONS:
Work experience in an administrative capacity in the mental health or related field.
Demonstrated writing skills, event planning and implementation and project management of domestic and global programming.
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to The Carter Center on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines. All non-exempts employees must reside within the State of Georgia. The Carter Center reserves the right to change remote work status with notice to employee.
