Position Details:
The Temporary Advising Specialist in the Academic Advising and Support Center ( AASC ) will provide academic advising and support to Loyola’s undergraduate student population, advisors, and faculty. This position will offer accurate and sound advice to undergraduate students regarding course scheduling, degree progression, majors/minors, transfer courses, and University policy and procedures.
Specific duties include:
Academic Advising
Provide timely and accurate information to undergraduate students regarding Loyola’s core curriculum, class registration, drop/add, course withdrawals, major/minor selection, degree progression, timeline to graduation, and academic policies and procedures. Refer students to additional resources (i.e. the Study, Counseling Center and the Career Center) as necessary. Counsel students in academic distress and assist them with making informed decisions regarding their academic journey. Work closely with faculty advisors and/or departments chairs regarding advising and scheduling issues and/or questions.
Graduation Clearance
Track and monitor a portion of the senior class from the summer prior to senior year through Commencement. Inform seniors about missing degree requirements in a timely manner and provide consistent follow up to ensure that students take appropriate action leading to timely graduation.
Summer/Winter Away Transfer Course Approvals
Under the supervision of the Assistant Director, review transfer course requests from Loyola undergraduates looking to take courses away from Loyola in the summer and/or winter semesters. Work closely with department chairs, as needed, to equate transfer courses to Loyola courses and send timely notifications to students.
Data Entry and Reporting
Utilize Ellucian Colleague to manually register undergraduate students for courses that require special permissions or approvals and to look up relevant information related to academics. Run reports through Business Objects and analyze data and trends related to undergraduate academics.
Orientation
Serve as an expert advisor during new student orientation each summer. Ensure that incoming students understand the elements of the core curriculum and assist students and faculty advisors with questions related to course registration.
Presentations
Represent AASC during advising-related workshops and trainings. Use presentation software and materials to inform and engage students, faculty, and staff.
