SUMMARY: Act as a liaison between laboratory staff, scientific customers, business team and finance. Providing support to business operation by being capable of communicating technical information to customers, ensuring accurate sample entry, on-time-delivery, KPI statistical reporting, and monitoring A/R, A/P, sample entry/coordination, and customer service activities. Functioning as a coordinator to keep communications and projects flowing efficiently including performing duties of customer service/inside sales, tracking daily income targets and performing on-going and month-end billing activities. Perform other duties include invoicing, receiving customer payments, maintaining marketing database and internal communications with other departments. Work on continual improvement of business efficiencies including partnering with IT to help improve software automation to improve business and lab operation.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Oversee office staff and ensure accurate sample entry, project management, invoicing and oversight of all outsource testing.
Technical communication to assist customers with information needed to direct correct testing on their samples and communication back to the customer with lab explanations on test results.
Meet with IT and management to execute a plan to streamline data entry, reporting, sample handling and other business tasks to get the most out of software and increase efficiencies for continual improvement
Customer liaison and oversee all customer inquiries and direct accordingly. Also, focus on on-time delivery of certificate of analysis testing while reporting all information customers requested and maintain customer files
Statistical reporting of KPI, customer satisfaction surveys, and on-going income/expense reporting
Data entry, including invoicing, customer set-up, and maintaining marketing database
Daily receiving credit card payments and A/R activities to ensure good cash flow and knowledge of customer A/R balances
Billing activities related to internal customer and month-end requirements
Trade show planning and calendar due dates for ordering booth set-up, shipping, supplies, and needed resources for each show.
Adhere to document control procedures with understanding of Good Laboratory Practices (GLP) and ISO requirements
Direct work, conduct performance appraisals, reward and/or discipline employees, address complaints and resolve problems.
Ensure all shift members are trained properly and signed off on SOP’s
Maintain daily accountability of all direct-report department members.
Management retains the right to add to or change the duties of the position at anytime. The functions below are to be performed in accordance with all applicable FDA, OSHA, EPA, and ISO standards and regulations.
QUALIFICATION REQUIREMENTS:
Science background
Excel and Word experience with good communication, grammar, writing, and mathematical abilities.
Ability and desire to learn new software as well as SORA laboratory capabilities.
Must be flexible and able to handle multiple projects, and priorities.
Must be able to work independently in an organized and reliable manner
Must be able to maintain confidentiality of company meetings and correspondence.
EDUCATION and/or EXPERIENCE: Bachelor’s degree in science or business field. A minimum of 5 years of combined experience and education will be considered. Coursework in science combined with office management experience preferred.
WORK ENVIRONMENT: Work is carried out in an analytical laboratory within a factory setting. There is limited exposure to dietary supplement raw materials and/or finished products. Occasional use of a laboratory balance may be required. All applicable Personal Protective Equipment (PPE) such as safety glasses, gloves, etc. must be worn when required.
