General Purpose: Provides administrative support to the Dairy Brands St. Louis Park-based executive team in a highly responsible and professional manner. Serves as an active contributor in building a culture of collaboration and continuous improvement while delivering high levels of organizational efficiencies and quality of work. Duties and Responsibilities: Manages calendar, travel schedule, and expense reporting for executives. Develops professional communication materials with high impact graphics. Schedules and coordinates meetings, business trips, conference calls, web meetings, and other executive events; reserves meeting space; provides audio visual and other ancillary equipment/materials, if required; and arranges hospitality services when appropriate. Responsible for vendor management and contract negotiation when required. Prepares and publishes the company newsletter, using discretion and judgement to prepare relevant and professional content, reflecting positively on the company and leadership. File and data management including executive correspondence, presentations, confidential material, etc. Management of the legal document process to include monitoring incoming contracts, tracking deadlines, and organizing records using the contract database. Partners with management regarding company initiatives that require cross-functional projects. Maintains effective working relationships with executive assistants from across the organization to coordinating meetings, events, schedules, etc. with a customer oriented approach. Provides back-up to sr executive assistant for coverage during PTO. Generates and distributes weekly, monthly, and other reports as appropriate. Leads/participates in special projects and employee events. Manages incoming calls/correspondence appropriately and hosts corporate-office guests consistent with company values. Performs other responsibilities as determined by business needs. Education and Experience Completion of an Associate level program or Certified Professional Administrative certificate plus 5 years of experience in an executive admin capacity, Or 6-10 years executive admin experience supporting senior executive and senior leadership. Necessary Knowledge, Skills and Abilities Strong interpersonal skills are essential, with a high degree of sensitivity for confidentiality. Excellent verbal and written communication techniques. Highly developed graphic development skills; strong powerpoint skills. Ability to organize, prioritize, and manage multiple and varied projects simultaneously and independently under general instructions. Display excellent computer skills in MS Office programs of Word, Excel, and PowerPoint; and an ability to learn new applications. Knowledge of proper formats for letters, reports and presentations; proper grammar, spelling, and language usage; ability to produce neat, accurate correspondence and reports.
